JOB TITLE: Accounts Payable/Administration (Full Time)

Responsibilities
•Maintain files by posting all unpaid and paid disbursement documents (invoices, check requests, etc.)
•Respond to vendor queries concerning payments of invoices
•Identify employee reimbursement requests within the context of company policy
•Audit A/P invoices quarterly to ensure no duplicate payments were made
•Compile documentation for audit review
•Monitor credits owed to the company and ensure all credits are properly applied to vendor payments
•Manage list of month-end accruals
•Other tasks or projects assigned by manager
•Perform administrative support and related duties which are broad, varied, and often of a complex/confidential manner
•Manage phone calls, schedule appointments, maintain calendars, complete expense reports, compose/type correspondence
•Maintain departmental files including, but not limited to, training files, client contract files, and project files
•Coordinate and distribute inbound and outbound mail
•Ensure all vendor invoices and statements received are correctly and appropriately administered in a timely manner and in accordance with departmental procedures
•Serve as front desk personnel
Qualifications
•Flexibility pertaining to hours, including ability to work over-time and weekends if/when needed
•Knowledge of month-end closing processes (reconciliation and running of A/P related reports)
•1 years of experience in accounts payable and/or administrative support (We are willing to train candidates with the right skills and entry level experience)
•Ability to build good relationships with vendors (Prior experience and expertise in vendor management a plus)
•Capable of managing stressful situations, conflicting deadlines, and prioritizing tasks from multiple managers
•General office environment with ability to sit for long periods of time and ability to move about in an office
•Knowledge of reconciliation of monthly payable reports to confirm all amounts paid are accurate

Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Parking is security gated within a business complex.

Position Type/Expected Hours of Work
This is a full-time position. The hours and days of work are Monday through Friday, 9:00 a.m. to 6 p.m. Occasional evening and weekend work may be required as job duties demand.
