- Manage B2B accounts receivable, ensuring accurate documentation of collections and cash obligations
- Maintain detailed records of customer payment activity and collection efforts
- Prepare and monitor aging reports to track outstanding accounts
- Post customer payments and prepare deposits for banking
- Process debits and credits in the accounting system
- Create and maintain customer files, ensuring security, accuracy, and confidentiality
- Research and facilitate collection procedures when necessary
- Prepare invoices, statements, and supporting documentation
- Handle Electronic Credit and Debit Management (ECM)
- Verify reference numbers for prospective customers for accuracy and credibility
- Serve as backup for phone reception duties when needed
- Assist in billing invoices and maintaining organized financial records
- Support monthly cross-departmental meetings with reporting and documentation
- Manage document scanning and filing through Docstar
- Perform other related accounting and administrative duties as assign
- Associate degree in Accounting, Finance, or related field or equivalent years of relevant experience
- 2+ years of invoice processing, accounts reconciliation, and data entry/record-keeping- Experience in B2B accounting, cash obligations, and collections documentation required
- SAP experience highly preferred
- Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook)
- Experience with document management systems (e.g., Docstar) preferred
- Excellent organizational skills with the ability to manage multiple tasks and deadlines
- Strong attention to detail and high degree of accuracy
- Proactive, solution-oriented, and customer-focused mindset
- Effective time management and problem-solving abilities
- Strong communication skills, both written and verbal
- Ability to work independently as well as collaboratively within a team
