We are seeking a highly organized, proactive, and personable professional to serve as the primary office contact while handling administrative operations, project coordination, and technical drafting in our welding and fabrication shop.
- Act as front-desk receptionist: greet visitors, answer/direct calls, manage mail/deliveries, maintain professional office appearance
- Oversee daily office operations: order supplies, coordinate services (cleaning, maintenance, IT)
- Provide executive support: manage calendars, prepare documents, handle confidential information
- Perform administrative tasks: data entry, filing, drafting emails, typing purchase orders, maintaining Excel spreadsheets
- Manage project & financial records: prepare/maintain job cost analysis sheets, communicate professionally with clients/vendors, enter/audit weekly payroll (Time & Attendance)
- Create technical drawings: use AutoCAD to produce precise designs and fabrication drawings; read/interpret blueprints; collaborate with welders, engineers, architects, and clients
- Support marketing: capture and provide photos/videos of shop activities for client/media use
- Proficiency in AutoCAD and blueprint reading
- Microsoft Excel skills (spreadsheets, data organization, job costing)
- Excellent verbal and written communication; professional phone/in-person demeanor
- Proven office administration or customer service experience (construction/fabrication environment preferred)
- Strong organizational and time-management skills; able to work independently and prioritize effectively
- Proactive problem-solver with attention to detail and customer focus
- High level of discretion, reliability, and ownership
