Samco Enterprises, Inc. is seeking a reliable and detail-oriented individual for a temporary clerical assistant position while a current team member is on maternity leave. This role is a great opportunity to learn the day-to-day operations of our office and shop support functions — with the potential to grow into a Parts/Purchasing Specialist role based on performance and company needs.

Key Administrative Responsibilities (Temporary Coverage):
•Answer and route incoming phone calls
•Monitor company email and respond or forward as needed
•Scan and save key documents: bank statements, jobs, PODs, invoices, and freight slips
•Upload scanned files to NetSuite (jobs, transfers, POs)
•Maintain job books, file documentation, and manage office supplies
•Handle packing slips: match to system, check quantities, scan, and file
•Receive transfer orders and update NetSuite
•Review and process UPS freight charges weekly
•Coordinate office errands and keep common areas organized and stocked
•Handle weekly office lunch coordination
•Assist with Friday safety meeting prep (PowerPoint topics, printing)
•Coordinate local part pickups with sales team
•Temporary help with timecards, PTO forms, invoice prep, and job follow-ups

Opportunity for Growth – Parts & Purchasing Responsibilities May Include:
•Creating and managing simple POs (Uline, Grainger, MSC)
•Build/assemble valve repair kits
•Create labels for packages
•Physical inventory count
•Shipping and receiving duties
•Running min/max reports and coordinating inventory restocks
•Helping write job sheets or quotes for sales orders
•Supporting parts procurement, tracking open POs, and verifying part quantities
•Learning basic quoting and order entry in NetSuite
•Coordinating with the shop, vendors, and sales for part exchanges and returns
•Assisting with follow-up on freight, open jobs, and vendor timelines

What We’re Looking For:
•Organized and self-motivated with a strong attention to detail
•Willingness to learn both clerical and operational processes
•Basic computer skills and ability to follow document protocols
•Strong communicator comfortable working with internal teams and vendors
•Ability to lift up to 40 lbs occasionally and support a shop/warehouse environment
•Prior office or inventory experience is a plus, but not required
