The System Specialist is responsible for the daily support, administration, and continuous improvement of Canlin’s Operational Software Systems. This role focuses on systems supporting Purchasing, Maintenance Planning and Execution, Invoicing, Change Management, and Asset & Work Management, including IBM Maximo, OpenInvoice, and the Management of Change (MOC) system, along with associated integrations and reporting tools.
Reporting to the Manager of Maintenance, Automation and Supply Chain, the System Specialist supports Canlin’s operational plan, philosophy, and strategies by ensuring operational systems are reliable, wellgoverned, and aligned with business needs. This role provides expert guidance, advice, and support to business units and end users on current and new systems used for purchasing, maintenance execution, and operational decisionmaking.
The System Specialist will serve as a subject matter expert, providing administrative, technical, functional, and data support for Canlin’s operational software ecosystem. This role ensures systems effectively support the purchasetopay (P2P) and asset and work management business processes while complying with governance and control requirements.
- Act as the primary system expert for IBM Maximo, OpenInvoice, MOC tools, and other operational systems supporting asset management, maintenance, purchasing, invoicing, and change management.
- Provide daytoday functional and technical support to end users and business units, including troubleshooting, issue resolution, and system optimization.
- Support and administer the purchasetopay (P2P) lifecycle, ensuring accurate system configuration, data integrity, and compliance with internal controls.
- Assist with the deployment, configuration, administration, and enhancement of new operational systems and software modules.
- Develop, document, and maintain standard operating procedures, workflows, and systemrelated business processes.
- Create and deliver user training, system documentation, job aids, and process guides, including inperson training sessions.
- Work closely with the Canlin Information Systems (IS) team, vendors, and external partners to support system integrations, upgrades, and enhancements.
- Ensure asset, work, purchasing, and invoicing processes are implemented in alignment with management direction and operational standards.
- Use system expertise to identify risks and impacts associated with system, process, or configuration changes.
- Lead or support change management activities, including:

- System configuration design and documentation
- Testing and validation
- Implementation of approved changes
- Support and maintain system integrations and data flows between operational, financial, and reporting systems.
- Create, develop, test, and deliver standard and ad hoc reports to support operational insight, performance tracking, and decisionmaking.
- Manage user access, roles, and security, ensuring compliance with data governance and cybersecurity standards.
- Ensure operational data quality, consistency, and adherence to data governance best practices.
- Participate in continuous improvement initiatives related to systems, processes, and reporting.

- Experience with IBM Maximo strongly preferred; experience with OpenInvoice, MOC systems, or similar platforms considered an asset
- Trade experience or a related postsecondary degree considered an asset
- Project or change management experience
- Knowledge of systems analysis, configuration, administration, and design
- Familiarity with continuous improvement or project management methodologies (Lean, Agile, Operational Excellence, etc.)
- Understanding of data governance, system controls, and audit readiness
- Ability to assess current needs and plan for future system requirements
- Highly adaptable to change and shifting priorities
