The Service Inventory and Administration Assistant is responsible for maintaining MDS inventory, assisting customers, and supporting MDS field staff by handling field repair calls and managing work orders, including their creation and updates. The position also entails face-to-face customer service for walk-in clients. The Service Administrative staff is the primary contact between the company and our client’s customers needing assistance with service-related problems.
· Inventory Process – Conduct partial inventories throughout the year and a full annual inventory at the end of the year and generate inventory reports for company stakeholders
· Handle material issues – Issue and close POs, receive material into the system, process invoices, assist technicians, supervisors and administrative team members resolve material issues on service orders
· Smart meter program coordinator – Issue POs for smart meters, receive smart meters into the system, prepare monthly smart meters on-hand report
· Provides administrative and operational support to the Service Manager
· Organize and maintain employee files – DOT vehicle inspection reports, excavation log files, safety meeting sign in sheets, and employee certifications
· Answer customer service calls and escalate as needed for billing and/or service
· Interact and resolve issues with walk-in customers on AVR/billing questions
· Dispatch work to service and construction personnel as needed
· Demonstrate personal accountability through the effective use of resources in daily procedures, processes and practices
· Maintain confidentiality of all materials handled as well as the proper release of information
· Comply with MDS departmental policies regarding attendance and dress code
- High School or GED
- Minimum 1 year related work experience
· Must be able to communicate clearly and effectively, orally and in writing
- Must be able to easily and professionally interact with customers
- Must possess computer skills to handle service order software, Microsoft Excel, Word, Outlook, and other administrative software
- Proficient at math
- Ability to work overtime and On-Call Weekends as necessary
- Ability to maintain regular and predictable attendance
