We are seeking a dedicated and experienced Service Operations Coordinator to support and strengthen our Service Department. This is not an entry-level role — we need someone who can step in, take charge, and operate with minimal training in generator service support.
In this role, you’ll be the operational backbone that keeps our field technicians running efficiently, our customers informed, and our service projects on track. You will manage repair workflows, parts sourcing, warranty claims, scheduling, permits, and customer communications — ensuring excellence across the board.
- Provide outstanding customer service, handling inquiries with professionalism.
- Greet customers, schedule service appointments, and maintain open communication on repair status.
- Explain repair needs, estimates, and updates clearly to customers.
- Handle and resolve customer complaints with professionalism.
- Manage repair order paperwork, scanning, and filing.
- Review work orders to determine repair needs and timelines.
- Generate accurate repair estimates and quotes.
- Coordinate scheduling with technicians to maximize efficiency.
- Maintain accurate inventory levels, ensuring parts are stocked and organized.
- Source parts and pricing from vendors and manufacturers.
- Ensure parts are available for upcoming jobs to prevent delays.
- Research warranty coverage and process claims.
- Track warranty and repair worksheets for accurate reporting.
- Prepare and submit permit applications for installations and service work.
- Monitor permit statuses to avoid project delays.
- Support project tracking and installation timelines.
- Assist with vendor coordination to keep projects on schedule.
- Provide operational oversight to ensure deadlines and expectations are met.
- 3–5 years of experience in a service-based administrative, dispatch, or coordination role (generator, electrical, or mechanical industries strongly preferred).
- Strong knowledge of service operations: job flow, dispatch, and service ticketing.
- Mechanical aptitude and familiarity with generator components and part sourcing.
- Proficiency with computers, spreadsheets, and service tracking systems.
- Excellent organizational and time-management skills.
- Experience in estimating and service writing.
- Ability to take ownership and work with minimal supervision.
- Associate’s degree or equivalent experience.
