Job Title: Equipment Service CoordinatorPosition Overview
As an Equipment Service Coordinator, you will oversee the scheduling, tracking, and performance of equipment maintenance and repair operations. Your mission is to ensure optimal uptime, compliance, and customer satisfaction across internal operations and external service providers.
Key Responsibilities
•Coordinate and schedule maintenance, inspections, and repairs for all equipment in line with manufacturer guidelines and operational needs.
•Develop and manage effective work orders, service requests, and preventive maintenance programs within our work order management software.
•Liaise between internal stakeholders (operations, production, safety) and external vendors, service technicians, and engineering teams.
•Track service requests, monitor progress, and ensure timely resolution and service completion.
•Maintain accurate documentation concerning work performed, parts used, warranties, and service provider performance.
•Assist in sourcing, evaluating, and onboarding qualified vendors and subcontractors.
•Manage spare parts inventory—forecasting, ordering, stocking, and tracking usage trends.
•Analyze failure data and equipment downtime to generate actionable reports that support reliability improvements.
•Ensure strict compliance with safety standards, regulatory guidelines, and internal company policies.
•Serve as a point of contact for escalations or urgent service needs and respond promptly.
•Support continuous improvement initiatives to optimize workflows and reduce costs.
•Generate invoices for completed and closed work orders. Following up on outstanding invoices.
Qualifications & Experience
•Education: Minimum of a High School diploma or GED; Associate or Bachelor’s degree preferred, but not required.
•2+ years in equipment operations, facilities maintenance, or a coordination role.
•Experience with CMMS systems such as SAP, Oracle, Zoho, Hub Spot, or similar platforms.
•Knowledge of equipment maintenance best practices, reliability strategies, and vendor coordination.
•Strong organizational and multi-tasking aptitude.
•Excellent interpersonal and communication skills (verbal and written).
•Problem-solving mindset with attention to accuracy and detail.
•Proficiency in Microsoft Office (especially Excel) and EMMS/CMMS tools.
•Ability to work independently and as part of a team, including managing multiple priorities.
•Familiarity with regulatory compliance (OSHA, NFPA, NEC, etc.)—when applicable.
