We are seeking an experienced Administrative/Human Resource Assistant to join our team. The ideal candidate should possess a bachelor's degree, be fluent in both English and Chinese, and have 3-5 years of relevant work experience. Strong communication skills, attention to detail, and a high level of responsibility are essential for this role.
You will be working closely with a variety of department Managers across the organization – including executive office and reports to the Director of General Office. - Creating/contributing efforts in cultivating successful and vibrant work culture
- Provide comprehensive administrative support to the team and management
- Act as a liaison between English-speaking and Chinese-speaking team members, ensuring effective communication.
- Resource for employees throughout the employee lifecycle (partnership with PEO)
- Collaborate with hiring Managers to meet hiring goals: recruiting/head hunting, creating job descriptions, scheduling interviews, create and deliver offer letters, and compensation plans
- Manage onboarding and separation processes, employee recognition programs etc
- Advise and support Managers in performance management and employee relations matters
- Manage and coordinate meetings, appointments, and travel arrangements.
- Maintain Company compliance in tandem with PEO regarding labor laws
- Maintains knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law
- Handles all discipline and termination of employees in accordance with company policy, and constructive and timely performance evaluations
- Creating, editing, and managing company handbook, operations policies and procedures
- Assist in the organization and execution of company events and conferences
- Prepare and proofread documents, reports, and presentations
- Responsible for developing and implementing HR policies by setting up procedures and standards to guide the operation of the office
- Ensure that results are measured against standards, while making necessary changes along the way under the leadership of CEO
- Handle incoming and outgoing correspondence, including emails and phone calls
- Maintain and update records, databases, and filing systems
- Monitor office supplies and reorder when necessary
- Collaborate with other departments to facilitate cross-functional projects
- Ensuring office financial objectives are met by preparing annual budget for HR, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise
- Perform other administrative/HR tasks and special projects as assigned
- Bachelor's degree in a relevant field
- Fluent in both English and Chinese (written and spoken)
- 3-5 years of administrative/HR assistant or related experience
- Strong organizational and multitasking abilities
- Demonstrated professionalism and a strong sense of responsibility
- Detail-oriented and able to maintain a high level of accuracy
- Proficient in using Microsoft Office Suite and other relevant software
- Thorough knowledge of employment-related laws and regulations
