The Quality Systems Administrator is responsible for the maintenance of quality systems and provides comprehensive administrative and coordination support for API Q1/API Q2 and Beyond Energy’s global Quality Management System
- Maintain the global approved supplier list, ensuring consistency between Purchasing and Quality Management
- Support supplier follow-up activities and evaluation consistency
- Enter NCRs, CARs, MOCs, and audit findings into QMS software or SharePoint
- Maintain supplier records, including approvals, NDA’s, Insurance, and certifications, in a centralized system
- Coordinate document control activities to ensure consistency across divisions
- Maintain logs of procedures, revisions, and effective dates
- Support the numbering and categorization of new procedures and forms
- Ensure revisions are properly controlled, released, and communicated
- Assist in procedure and form changes, including preliminary drafts, reviews and formatting
- Cross-check that controlled documents are the latest revisions
- Implement quality plans and procedures
- Assist in closing and managing QNCRs, NCRs, CARs, and associated records
- Follow up on outstanding quality actions to ensure timely closure
- Collect and prepare data for audits, KPIs, and management review
- Support data entry and tracking for Management of Change (MOC) processes
- Assist in creating competency awareness and training programs
- Act as a point of contact for digital Quality systems training and navigation
- Ensure training records are completed and properly maintained
- Assist in data migration and system transitions
- Identify and flag missing signatures or incomplete fields
- Support integration of quality data across platforms
- Complete and manage risk assessments and legal compliance logs
- SharePoint proficiency
- Quality background (API Q1/Q2 or ISO) considered an asset
- Technical education and experience an asset
- Strong computer literacy, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience in developing procedures and quality training materials an asset
- Highly organized with excellent attention to detail
- Proactive problem-solver with the ability to anticipate needs
- Strong written and verbal communication skills
- Ability to handle confidential information discreetly
- Comfortable working independently and managing multiple priorities
- API Q1/Q2 documentation standards is an asset
- Office-based role in Blackfalds, Alberta
- May require occasional travel for training or site visits
- Standard working hours with flexibility for urgent training or QHSE needs
