The responsibility of an ITS Project Manager is to organize, coordinate and supervise client and internal projects through successful completion. The Project Manager will take ownership in listening, learning and documenting client and internal needs as well as projects initiated to achieve success in both areas. The Project Manager will work closely with internal teams through the lifecycle of a project. The Project Manager will establish and maintain effective working relationships with all those involved in the project.

Lead Implementation and Client Onboarding
- Oversee the Implementations Team and manage client onboarding to ensure smooth, timely transitions and successful project launches. Including:
1. Manage/lead clients onboarding projects.
2. Projects include RA’s, onboarding new clients, high value product enhancement requests, new products and features, and customizations or configurations.
3. Gather effort estimates from IT and Curriculum for client onboarding and custom projects.
4. Create and update project documentation prior to and during client projects.
5. Present clients with verified deliverables regarding project requests.
6. Manage communication between clients and internal ITS teams while a project is in process.
7. Monitor the progress of projects, including addressing issues that may arise and ensuring project deliverables are completed on time.
8. Adjust and communicate schedules and targets on a project as needed.
9. Schedule meetings for internal discussion as needed.
10. Follow established processes with an eye toward positive change as needed.
11. Attend Implementation Committee bi-weekly meetings to identify growth opportunities and help improve the overall process.
Drive and Optimize RA Proces
s - Take ownership of the RA process, continuously improving workflows and aligning outcomes with business objectives. Including:
1. Own/manage the RA (Risk Analysis) process, working closely with Implementation Specialists, CSR Leads, and other teams.
2. Engage with internal departments while driving Risk Analysis client requests to completion.
3. Engage with internal departments to identify and analyze potential gaps/risks in existing functionality and processes, escalating risks/blocks as needed.
4. Understand and incorporate changing industry needs and best practices.
5. Update and maintain the ITS project toolkit.
Project Management for High-Needs and Cross-Functional Client
s - Manage complex client projects involving multiple departments (e.g., Product, Content), ensuring coordination and alignment across teams. Including:
1. Work in conjunction with Product Owner and Product Manager on high-value client/product projects for both specific clients and ITS portfolio additions.
2. Working with VP Operations, collaborate internally across all departments to ensure project priorities are aligned with ITS strategic goals.
3. Lead project planning sessions to set goals and objectives.
4. Collect, document, manage, and present requirements, visuals, estimated efforts, project timelines, and feedback throughout the lifecycle.
5. Prepare requirements documentation for client approval and define project objectives, scope, and purpose.
6. Prepare project statements of work (SOWs) for management approval.
7. Own project components, steps, and outcomes.
8. Document feedback and lessons learned from clients at project close to improve future processes.
9. Serve as a point of contact internally and externally, ensuring team accountability for in-process and results.
Ensure Clear Communication and Timely Delivery
- Actively engage with stakeholders, keep all teams informed, and deliver project milestones according to established timelines. Including:
1. Oversee all phases of the project lifecycle: initiating, planning, executing, monitoring/driving, and closing.
2. Engage in timely/ongoing status meetings with stakeholders during project phases.
3. Track project performance status on the master project list and project plans in a timely manner.
4. Communicate schedule changes and project updates as needed.
5. Maintain strong communication between clients and internal teams.
6. Ensure project deliverables are completed by established timelines.- Bachelor’s degree in business, communication, management, technology or related field or 5+ years of related experience.
- Prior project management experience required.
- PMP certification or similar preferred.
- Client Onboarding, SaaS/technical software and Scrum experience preferred.
- Highly skilled with people and data: analyzing, reporting, negotiating, persuading, communicating, leading, and serving.
- Aptitude for quickly learning, understanding and improving complex systems.
- Able to present complex or uncertain topics with confidence and assurance.
- Ability to delegate effectively.
- Problem solving skills.
