The Project Coordinator is responsible for coordinating and supporting inspection and quality services for Midstream and Downstream oil and gas projects. This role serves as a key liaison between clients, inspectors, and internal stakeholders to ensure projects are executed on schedule, within scope, and in compliance with customer requirements, regulatory standards, and PPI/Kiwa quality systems. This position requires strong operational judgment, clear communication, and the ability to manage multiple priorities in a fast-paced environment.
• Primary point of contact for assigned customers and projects
• Coordinate inspection activities to ensure alignment with customer specifications, QMS requirements, and applicable industry standards
• Maintain accurate and current project schedules, staffing plans, and operational data
• Ensure timely, accurate delivery of all required project documentation and customer deliverables
• Monitor project funding levels and communicate status as directed by the customer
• Review inspector qualifications and assign appropriate QA/QC personnel to projects
• Initiate and manage IAPs and NCRs as required
• Initiate or escalate disciplinary actions for field personnel, when appropriate
• Process contractor invoices and expense reports for payment approval
• Review and approve timesheets and expense summaries as assigned
• Prepare and distribute internal and external project summary reports, including key performance metrics and value-added insights
• Collaborate cross-functionally with operations, quality, and leadership teams to support project success
• Associate degree or verifiable equivalent work experience with a high school diploma or equivalent
• Minimum of 3 years of oil and gas industry experience
• Knowledge of downstream construction and operations, including refineries, petrochemical plants, and petroleum product distribution, with exposure to fabrication and manufacturing activities at supplier locations
• Knowledge of midstream construction and operations, including pipelines, processing facilities, storage, transportation, and marketing of oil, natural gas, and NGLs, with exposure to fabrication and manufacturing activities at supplier locations
• Minimum of 3 years of experience applying NDT methods within the oil and gas industry
• Experience implementing and enforcing quality systems and procedures
• Prior experience managing or coordinating personnel to achieve defined objectives
• Ability to work independently with minimal supervision
• Team-oriented, flexible, and adaptable in a multi-disciplinary environment
• Ability and willingness to travel to supplier sites and customer offices as required
• Experience supporting client-facing inspections or QA/QC programs
