Summary:
The Project Manager Administrator will oversee and coordinate the activities of the Project Manager I, II, and III roles, ensuring efficient planning, execution, and closeout of housing construction projects. This position is responsible for administrative management across all project phases and will support project teams in maintaining timelines, budgets, documentation, reporting, and compliance with industry standards. The ideal candidate will possess strong leadership, organizational, and communication skills, combined with a deep understanding of construction project management.
Duties and Responsibilities
•Provide administrative oversight and support to Project Managers at all levels (I, II, III) for multiple concurrent housing construction projects.
•Develop and manage project schedules, tracking critical milestones and deliverables across the project portfolio.
•Assist in preparing project budgets and monitor financial performance, ensuring projects stay within approved budgets.
•Coordinate communication between internal project teams, contractors, vendors, and external stakeholders.
•Review and maintain all project documentation, including contracts, change orders, RFIs (Requests for Information), submittals, and project reports.
•Ensure compliance with organizational policies, safety regulations, and contractual requirements.
•Facilitate project meetings, prepare meeting agendas, take minutes, and ensure action items are followed up.
•Support procurement processes, including issuing purchase orders and maintaining vendor records.
•Monitor project risks and assist project managers in developing mitigation strategies.
•Provide regular updates and reporting to senior leadership regarding project statuses, issues, and risks.
•Develop and implement best practices and standardized processes for project management activities.
•Serve as a mentor and administrative resource for Project Managers, fostering professional development and continuous improvement.

Preferred Qualifications:
•PMP (Project Management Professional) or CAPM (Certified Associate in Project Management) certification.
•OSHA 30 Certification in Construction Safety.
•Experience working with affordable housing or tribal housing projects is a plus.
Education and/or Experience:
•Bachelor’s degree in Construction Management, Business Administration, Architecture, Engineering, or related field. Equivalent work experience may be considered.
•7+ years of experience in housing construction project management.
•The equivalent combination of education and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.
•Advance knowledge of construction principles, techniques, and best practices.
•Experience working in residential or housing construction is highly desirable.
•Proven track record of successfully managing large and complex construction projects.
•Exceptional project management skills, including budgeting, scheduling, and risk management.
•Strong leadership abilities and the capacity to manage multiple project teams.
•Excellent problem solving and decision-making skills.
•Outstanding communication and negotiation skills.
•Proficiency in project management software and tools (e.g., MS Project, Procore, or similar).
•Ability to mentor and develop junior project members and team members.
•Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
•Mathematical Skills: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Must have a proficiency in the development of independent cost estimates.
•Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must be comfortable and competent at negotiating scope changes in heavy construction. Must be critical path construction scheduling and analysis proficient.
•Computer Skills: To perform this job successfully, an individual should have knowledge of Design software; Development software; Project Management software; Spreadsheet software and Word Processing software.
•Certificates, Licenses, Registrations: Project Management Certificate; Valid Arizona's Drivers License; No DUI’s in past 3 years; No felony convictions in past 10 years

Work Environment
