The Project Administrator III is actively engaged in managing the overall project life cycle by providing timely reporting, financial tracking, and contract-related documentation to management and stakeholders. This role supports project efficiency and compliance, while ensuring that team goals, roles, and protocols align with high-performance standards and company strategy. The ideal candidate will lead by example in an environment that fosters trust and candor, maintains personal accountability, and communicates assertively and constructively.
- Actively support the management of the full project life cycle, ensuring alignment with company goals and strategies.
- Set up and maintain work orders in the MRP system to support project tracking and reporting.
- Review employee timesheets for accuracy and submit to payroll in a timely manner.
- Process and claim production units to ensure accurate project cost and revenue reporting.
- Prepare and enter purchase requisitions in compliance with company procurement policies.
- Collect subcontractor and material tickets for accrual purposes and maintain accurate documentation.
- Prepare and issue project invoices, ensuring accuracy and timely submission to clients.
- Monitor Purchase Order spend and provide updates to project and financial stakeholders.
- Attend department project and financial meetings, contributing insights and supporting decision-making.
- Collaborate with cross-functional teams, fostering a team environment through open communication and accountability.
- Demonstrate organizational excellence by prioritizing tasks, meeting deadlines, and maintaining accurate project records.
- Cross-train with team members to provide support across administrative and financial functions as needed.
- Communicate assertively and constructively with team members, management, and stakeholders to build trust and maintain strong business relationships.
- Bachelor’s degree in Business Administration, Finance, Project Management, or a related field; or equivalent work experience.
- 5+ years of project administration or related experience, preferably in construction, utilities, or engineering.- Strong knowledge of project accounting principles, financial reporting, and contract administration.
- Experience with MRP/ERP systems and financial software.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
- Excellent organizational and time management skills with strong attention to detail.
- Effective verbal and written communication skills, with the ability to engage assertively and constructively.
- Strong problem-solving and analytical abilities.
- Ability to work independently while also excelling in a collaborative, team-oriented environment.
- Adaptability to changing priorities while maintaining accuracy and professionalism.
