J H Operating Company, LLC, an Engineering, Procurement, and Construction Management firm primarily supporting the upstream and midstream oil and gas industry, has an opening at its office in Baton Rouge, Louisiana for a Project Administrator.
The Project Administrator will assist in managing projects from concept to commissioning by participating in cost control, project and documentation management, and supporting the Project Manager and Project Engineers in all aspects of the project. The role will primarily support the team on capital industrial infrastructure projects such as multi-well production facilities, large central gathering stations, oil terminals, pipelines, and saltwater disposals. This role and skill set is critical to expanding JH’s services to the midstream and upstream sectors.
The position will report to Derek Blough, Engineering Supervisor.
The primary responsibilities of this role are as follows:
- One overarching goal: to make the team, specifically the Project Managers, a more efficient and effective group by creating capacity for them to focus on their more technical priorities, while assisting in ensuring that all projects are completed on time, within budget and meet our high standards of quality.
- Support the PMs in maintaining and monitoring project plans, schedules, budgets, and expenditures.
- Assist the Engineering team with:
- Cost tracking and forecasting
- Administer Request for Proposals (RFPs) and RFP bid evaluations
- Procurement
- Pre-Construction scheduling and document control
- Research and data entry
- Special Projects
- Change order submittals and tracking
- Assist the Construction team with:
- During and post-Construction quality assurance
- During and post-Construction document control
- Support field staff for data requests
- Arranging equipment rentals and in-field services
- Quality control documentation
- Creation of the job book
- Client handover documents
- Invoice reviews and cost tracking
- Interface between drafting and engineering departments, as necessary
- Create and review the pre-construction job books.
- Prepare project closeouts.
- Maintain up-to-date project tracking spreadsheets
- Assure that projects adhere to company processes and procedures and that all documentation is appropriately maintained.
- Provide as-needed administrative support.
- Treat the client with respect and professionalism, at all times.
- Understand and manage your personal performance to promote JH teamwork and culture, while enhancing customer satisfaction.
- Maintain confidentiality of all JH and client information.
The ideal candidate will possess excellent time management and communication skills, an eagerness to learn and evolve, the ability to work on multiple projects at once, and often with tight deadlines.
This is an exempt position. Salary determined by level of experience and technical ability.
QUALIFICATIONS: Required:
- High School Diploma acceptable with 5+ years of industry experience.
- Excellent verbal, written and presentation skills
- 5+ years of experience in an office setting (industrial office, preferred)- Above average competency with the Microsoft Office Suite (specifically, Word, Excel, PowerPoint, Outlook, and Teams)
- Strong research and analytical skills
- Willingness to enthusiastically complete both high-level and low-level tasks
- Ability to be proactive and take ownership of tasks
- Exemplary references
- Ability to pass an in-depth drug screening
- Qualify for a motor vehicle license
- Bachelor's or advanced degree, with evidence of academic or other intellectual distinction
- Prior experience in a construction-related field
- Working knowledge of AutoDesk products
- Ability to read P&IDs and ISOs
