3.0 Position Summary
The Benefits Specialist is responsible for leading the administration and strategic support of employee benefit programs across the organization. This role manages core benefit offerings, leave programs, 401(k) administration, workers’ compensation reporting, and vendor partnerships, while coordinating open enrollment and ensuring compliance with U.S. regulations. The Benefits Specialist thrives on employee engagement, process excellence, and cross-functional teamwork.
4.0 Education and Experience
•A Bachelor’s degree in Human Resources, Business Administration, or related field
•3–5 years of experience in U.S.-based benefits administration, including 401(k), leave, and compliance.
•Proficiency in HRIS and benefits platforms (e.g., ADP WFN).
•CEBS or other relevant certification desired.
•Thorough understanding of employment laws and benefit regulations.
•Excellent communication, organizational, and analytical skills.
•A proven track record of managing and administering benefits programs.
•Excellent organizational skills with the ability to manage multiple priorities simultaneously.
•Experience supporting multi-state or distributed workforces.
•Ability to translate technical benefit topics into engaging employee education.
•High attention to detail and accuracy, with the ability to maintain confidentiality.
•Knowledge of HR best practices, policies, and procedures.
•Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Benefits Administration & Employee Support
•Administer health, dental, vision, life, disability, and voluntary benefit programs
•Manage employee enrollment, status changes, and claims resolution
•Act as the primary point of contact for employee benefit inquiries and communications
•Ensure benefits resources are clear, accessible, and updated across internal platforms
Retirement & 401(k) Oversight
•Administer 401(k) plans including enrollments, loans, withdrawals, and reporting
•Coordinate with plan providers to ensure compliance and accurate plan operations
•Support the internal Retirement Committee with meeting logistics, documentation, and performance reporting
Leave Program Management
•Oversee leave programs including FMLA, ADA, state-specific leave, and short/long-term disability
•Liaise with third-party administrators and managers to ensure proper documentation and tracking
•Educate employees on eligibility and maintain regulatory compliance across all locations
Workers’ Compensation Reporting
•Serve as point of contact for workplace injury claims
•Submit and monitor workers’ compensation reports and claims
•Partner with safety teams to coordinate return-to-work plans and reporting for carriers
Open Enrollment & Cross-Functional Coordination
•Lead annual open enrollment coordination and execution
•Partner with CHRO to develop management presentations for CEO/CFO approval
•Collaborate with benefits broker to create and deliver employee training and communication materials
•Work with Manager HR Shared Services to configure HR systems and ensure data accuracy
Vendor Relations & Broker Partnership
•Manage relationships with benefits broker, insurance carriers, and third-party vendors
•Evaluate plan performance, utilization trends, and renewal proposals
•Coordinate vendor reporting and support plan enhancements aligned with workforce needs
Compliance & Reporting
•Maintain compliance with ERISA, COBRA, HIPAA, ACA, and federal/state regulations
•Conduct regular audits and reconciliations of benefits data
•Prepare internal and external reports to support HR operations and regulatory filings

5.0 Travel
Flexibility to work across time zones. Minimal travel anticipated.
6.0 Fitness for Duty – Physical Demands
•Prolonged periods sitting at a desk and working on a computer.
•Must be able to lift up to 15 pounds at times.
