Hours of work: Full-time (37.5 hrs/wk) Flexible Work Role: Remote
- Processes and/or calculates statutory and other pay related deduction requests in an accurate and timely manner to
ensure compliance with statutory, collective agreement provisions and corporate policies. Explains statutory and other pay
related deduction calculations to employees, Canada Revenue Agency (CRA) and Unions as required. Verifies deductions
in arrears prior to bi-weekly payroll run.
- Performs a variety of duties related to deductions and records management such as: extracting and reporting deductions
data to various stakeholders; preparing worksheets and reconciling to year to date controls; preparing journal vouchers;
reconciling monthly and quarterly general ledgers per timelines established by Finance; investigating and preparing journal
entries as required; calculating and processing payroll related liabilities (such as timebank transfer) and various
repayments, refunds and recoveries; preparing intercompany payroll journal; calculating and reporting taxable benefits
(such as vehicles, parking, sabbatical interest payments); and calculating EI refunds and preparing monthly journal entries.
- Performs accounting control functions related to pension plan and related deductions such as: setting up pension
deductions in the system; investigating and correcting discrepancies with pension deductions; preparing monthly payments
to pension plan; providing monthly pension payment report to Treasury, pension provider and other stakeholders;
processing employee payments; and investigating and correcting post-payroll run pension errors reported by pension
administrator.
- Prepares and submits WorkSafeBC (WCB) and Employer Health Tax (EHT) quarterly/annual employee/contractor
payments. Verifies assessment notices and investigates significant differences.
- Works with SAP Support to investigate and correct system errors. Recommends deduction system functionality
- Prepares and maintains instructions, procedures and manuals. Explains deduction processes to Payroll staff as required.
- Prepares T4 and T4A slips by: maintaining year to date earnings file for CPP, EI, income tax, registered pension plan,
taxable allowances, union dues and charitable donations; verifying accuracy of CPP contributory earnings and EI insurable
earnings (verifying and reconciling entries); adjusting CPP and EI contributions (T4 slips such as CPP and EI contributions,
WCB payments) as necessary; verifying totals in and submitting T4 summaries; and addressing inquiries from employees
and CRA including the annual Pensionable and Insurable Earnings Review (PIER).
- Investigates problems and answers inquiries from external agencies, Human Resources, employees, unions and others
(such as internal/external auditors) on matters related to pensions, benefits, income tax and other deductions, remittances
etc.
- Oversees the overpayment recovery process by: reviewing overpayment letters created by Payroll Co-ordinators for
accuracy; ensuring timely recovery; providing repayment letters for CRA for paid recoveries; providing information to Legal/
Payroll Manager to start legal proceedings for unrecovered overpayments; and adjusting T4s for non-compliance of
repayments per CRA guidelines.
- Performs duties of a minor nature related to the above duties that do not affect the rating of the job.
- Certificate/Diploma in Human Resources, Accounting or Business Administration; plus four (4) years of full-cycle payroll
and three (3) years of payroll related general ledger reconciliation experience.
