Paralegal – Probate, Trusts & Estates

We are seeking a detail-oriented, highly organized Paralegal with at least five years of hands-on experience in probate administration, estate planning, and trust management. This role supports attorneys by managing case files, preparing legal documents, coordinating with courts and financial institutions, and ensuring timely, compliant execution of all estate-related matters. The ideal candidate has strong client-service skills, exceptional attention to detail, and the ability to independently manage deadlines in a fast-paced legal environment.

Key Responsibilities

- Prepare, draft, and file probate documents, including petitions, inventories, accountings, notices, and related court filings

- Coordinate all aspects of estate and trust administration, including asset collection, valuation, creditor claims, distributions, and closing documents

- Draft estate planning documents such as wills, trusts, powers of attorney, health care directives, and supporting materials

- Maintain communication with clients, beneficiaries, executors, trustees, financial institutions, and courts to ensure smooth administration

- Manage deadlines, calendars, and case progression through all stages of probate and trust work

- Compile, organize, and maintain case files, trust binders, and supporting documentation

- Conduct legal research related to probate rules, inheritance laws, and estate procedures

- Assist with preparation of federal and state estate tax returns, gift tax returns, and related documentation (if applicable to the firm)

- Handle e-filing, document management, correspondence drafting, and general administrative support for assigned attorneys

- Review and analyze financial statements, property records, insurance policies, and other assets for accurate reporting and distribution

- Maintain strict confidentiality and ensure compliance with ethical and regulatory requirements

Qualifications

- 5+ years of paralegal experience specifically in probate, trusts, and estates law

- Strong knowledge of probate court procedures and state-specific estate laws

- Experience communicating with executors, trustees, beneficiaries, court personnel, and financial institutions

- Proficiency with legal software (e.g., Clio, iManage, MyCase), Microsoft Office, and court e-filing systems

- Superior organizational skills and the ability to manage multiple matters with competing deadlines

- Excellent writing, drafting, and proofreading skills

- Ability to work independently with minimal supervision while supporting multiple attorneys

- Paralegal certificate required; bachelor’s degree preferred

Preferred Experience (Nice to Have)

- Experience preparing or assisting with estate, inheritance, or gift tax filings

- Familiarity with real estate transactions related to estate administration

- Notary public certification

Pay: $25.00 - $40.00 per hour
