The Office Administrator will coordinate and oversee administrative duties in the office and ensure that the office operates efficiently and smoothly. Their responsibilities generally include duties like greeting visitors, managing office supplies, assisting with projects on other teams, owning budgets, and supporting staff with administrative tasks like scheduling meetings and office events. The Office Administrator needs to be highly organized and self-motivated and have excellent attention to detail.
Responsibilities include but are not limited to:
· Promote a positive company culture and keep employees engaged by making the office a welcoming and collaborative place to work
· Arrange travel for employees and ensure adherence to travel policies
· Sort and distribute incoming and outgoing mail
· Manage relationships with FedEx and other shipping services including USPS
· Own and optimize all office facilities to enhance productivity and efficiency
· Answer calls and respond to inquiries or direct calls to appropriate departments
· Monitor inventory of office supplies and order when necessary
· Responsible for confidential and time sensitive material
· Other clerical duties such as filing, photocopying, printing
· Research cost effective solutions for the business
· Manage and negotiate with vendors for office maintenance, supplies, food, and beverage
· Plan and organize company events including off-sites and lunches.
· Be willing to venture out of the office to run errands when necessary
· Assist with special projects in various departments as needed
· 2 years of administrative and clerical experience
· Fast and efficient with Microsoft Office (Outlook, Word, Excel, PowerPoint)
· Excellent organizational skills and ability to perform tasks with minimal supervision
· Ability to be resourceful and proactive when issues arise
