Logistics Operations Lead – Sales & Design Support
Reports To: Office Manager / Sales Manager

The Logistics Operations Lead – Sales & Design Support is responsible for overseeing all inventory, procurement, vendor relationships, and material coordination across solar, battery, and NWR projects. This role serves as the central authority on material availability, inventory accuracy, and logistics execution, ensuring projects are fully equipped and completed without delays.
In addition to logistics leadership, this role supports early-stage sales activities and preliminary system design. The position manages incoming leads, assists in moving opportunities through the pipeline, and contributes to early project development.
This is a highly cross-functional role that bridges logistics, sales, design, and field operations—directly impacting project efficiency, cost control, and customer experience.
Logistics Operations Leadership (Primary Focus): Inventory & Material Control
- Maintain full oversight of inventory across warehouse and fleet vehicles
- Ensure accurate tracking using adjustment sheets, transfer sheets, and purchase orders
- Conduct quarterly physical inventory counts and resolve discrepancies
- Perform weekly reviews of adjustment sheets to ensure accurate job costing
- Monitor and track tools and equipment within QuickBooks
- Ensure excess materials from jobs are returned, tracked, and reconciled
- Create, issue, receive, and monitor all purchase orders in QuickBooks
- Order materials for contracted jobs immediately upon approval
- Proactively order out-of-stock materials aligned with project schedules
- Track and manage long-lead-time items to prevent delays
- Forecast material needs (modules, optimizers, inverters, etc.)
- Prioritize use of existing inventory before purchasing new materials
- Stage materials for upcoming projects based on project timelines
- Coordinate deliveries and material timelines with Project Managers
- Receive and verify all deliveries; report discrepancies to vendors and accounting
- Ensure all received materials are counted and cleared from receiving areas
- Monitor min/max inventory levels in alignment with the project schedule
- Act as the primary, front-facing representative to all vendors
- Maintain and strengthen existing vendor relationships
- Identify and build new vendor partnerships
- Open job accounts for large-scale projects
- Track and negotiate material pricing, including SPA agreements
- Maintain and regularly update vendor database
- Provide vendors with project timelines and quarterly “hot sheets”
- Maintain a clean, organized, and efficient warehouse/shop environment
- Oversee recycling and waste coordination (dumpster management)
- Manage company vehicle fleet maintenance scheduling and tracking
- Manage incoming leads across all channels (calls, email, text, web)
- Communicate with prospective customers and maintain consistent follow-up
- Gather key project data (site details, utility info, customer goals)
- Schedule consultations and site visits
- Track all interactions within CRM systems (e.g., Salesforce)
- Support senior sales staff in pipeline development and opportunity progression
- Assist with preliminary solar PV and battery layouts
- Compile site data (photos, plans, utility data, load profiles)
- Support proposal creation and revisions
- Coordinate with internal design and engineering teams
- Maintain organized and complete project documentation
- Serve as the communication bridge between logistics, sales, design, and field teams
- Ensure all projects are fully equipped ahead of installation
- Identify and resolve material shortages or delays proactively
- Align inventory planning with project schedules
- Contribute to continuous improvement of workflows and operational systems
- Strong organizational skills with high attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Clear and professional communication skills
- Proficiency with Excel, QuickBooks, and standard business software
- Self-motivated with strong ownership mindset
- Associates Degree minimum; Bachelor’s Degree preferred.
- Valid driver’s license.
- Experience in logistics, inventory management, or purchasing
- Familiarity with solar, battery storage, or construction industries
- Experience with CRM systems (e.g., Salesforce)
- Exposure to electrical or construction environments
- Experience with solar design tools (Aurora, Helioscope, etc.)
