Human Resources Recruiting Assistant

Summary/Objective We are seeking a motivated and detail-oriented HR Recruiting Assistant to join our Human Resources team. This position offers hands-on experience in various aspects of HR operations including recruitment, onboarding, employee engagement, and administrative support. It’s a great opportunity to gain exposure to the HR field and develop essential workplace skills.


Key Responsibilities:

Job Posting & Advertising

Create and post job ads on various job boards, company website, and social media platforms.
Update and maintain job descriptions in the HR system.


2. Resume Screening & Candidate Communication

Review and screen resumes for basic qualifications.
Maintain applicant tracking system (ATS) with up-to-date candidate information.
Communicate with candidates via email or phone regarding application status, interview scheduling, and follow-ups.


3. Interview Scheduling

Coordinate interview logistics with candidates and hiring managers.
Schedule phone, virtual, and in-person interviews.
Prepare interview materials and ensure timely communication of interview details.


4. Background Checks & Reference Verifications

Initiate background checks and follow up on results.
Contact references and document responses.


5. Onboarding Support

Assist with the onboarding process by preparing new hire paperwork through Onboarding Portal.
Ensure completion of pre-employment requirements (e.g., I-9 forms, onboarding documents, etc.)


6. Recordkeeping & Reporting

Maintain recruitment files and documentation in compliance with HR policies and legal requirements.
Generate weekly recruitment reports.


7. General Administrative Support

Assist recruiters and HR staff with projects and general tasks.
Attend HR meetings and take notes if needed.
Support event planning for career fairs and recruitment events.
Maintain and update employee records and HR databases
Assist in preparing HR reports and documentation
Participate in HR projects and meetings
Ensure compliance with company policies and confidentiality of sensitive information
Provide general administrative support to the HR team


Education and Experience:

Bachelor’s degree in Human Resources, Business, or related field preferred.
Prior experience in HR or administrative role required.
Strong organizational and communication skills.
Proficiency in MS Office and HRIS software.
Ability to handle confidential information with discretion.


Requirements:

Strong interpersonal and communication skills
Excellent organizational and time management abilities
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
High attention to detail and ability to handle confidential information
Eagerness to learn and take initiative

Work Environment

This job operates in a professional office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Position Type and Expected Hours of Work

This is a part-time position (20 hours per week, in office M-F) with the potential to transition into a full-time role based on performance and business needs.
