The Health & Safety (HS) Administrator provides administrative support to the office with a focus on Safety, Environmental, and Permitting activities. This may include managing health, safety, and environment policies, procedures, and/or databases, data gathering and analysis, organizing and facilitating meetings, developing reports and presentations, and other administrative functions.
- Collects, organizes, and maintains relevant data, including incident reports, risk assessments, inspection records, and other information from internal reports and software.
- Analyzes data for areas of strength, areas of improvement, overall trends, and other patterns.
- Prepares accurate and timely reports, presentations, and other health and safety documents for internal and external use.
- Supports department members with travel, conference, work-related scheduling, and event planning.
- Supports the review and update of existing written safety programs, procedures, and requirements of the organization.
- Assists with the development of new health and safety manuals or procedures.
- Advocates for safety processes and procedures.
- Assists with compilation and submission of regulatory reporting such as OSHA, Cal-OSHA, etc.
- Submits worker compensation claims, including relevant documents, when needed.
- Maintains third party health and safety online platforms (Vector Solutions LMS/EHS, Netsuite)
- Assists with submission of purchase orders and department invoicing.
- High School diploma or equivalent. Associates or higher degree in Safety, Occupational Health and Safety, or any related industrial field preferred
- 2 or more years of administrative / administrative support experience. Experience in a safety department or energy, manufacturing, oil & gas, or related sector preferred.
- Knowledge of or experience with health and safety regulations, such as OSHA, workers compensation, etc.
- Experience with data entry, database management, and online training platforms. Experience with NetSuite, Vector Solutions LMS/EHS preferred.
- Valid driver’s license and acceptable motor vehicle record.
- Ability to maintain a high level of discretion and confidentiality regarding sensitive information.
- Ability to accurately manage a high volume of work with close attention to detail.
- Ability to work on multiple projects at one time.
- Excellent communication skills, verbal and written.
- Knowledge of Microsoft Office Suite, in particular, Excel, Word, Outlook and PowerPoint.
- Ability to complete domestic travel, up to 5%.
- Ability to work in an office environment and use keyboard, mouse and other related peripheral equipment.
- Able to view computer monitor screen and/or mobile device for prolonged periods of time.
- Able to bend, squat, twist, reach, use hands and arms.
- Ability to lift 20 lbs.
