We develop and coordinate complex energy projects for commercial and industrial clients across the country, operating as a single-point-of-responsibility developer and EPC coordinator. We are seeking a detail-oriented and self-motivated Grant Writer & Project Administrative Coordinator to join our team. This hybrid role combines expertise in USDA REAP grant writing and administration with hands-on construction project management support and general administrative coordination. The ideal candidate is organized, deadline-driven, and comfortable working across multiple active projects simultaneously.
- Prepare, submit, and manage USDA REAP grant applications on behalf of agricultural and commercial energy clients
- Track grant timelines, milestones, and reporting requirements to ensure full compliance
- Coordinate with clients to gather required documentation, financial records, and project data
- Maintain organized grant files and correspondence for audit readiness
- Research and identify additional federal and state grant/incentive opportunities relevant to company projects
- Assist in coordination of subcontractors, vendors, and suppliers across active energy construction projects
- Track project schedules, RFIs, submittals, and change orders using project management tools
- Prepare and distribute meeting agendas, notes, and action item logs
- Support the Project Execution Plan process, including document control and version management
- Monitor project milestones and flag schedule or budget variances to project leads
- Provide executive and operational administrative support to company leadership
- Manage correspondence, contracts, NDAs, and filing systems
- Coordinate travel, meetings, and scheduling as needed
- Assist with proposal preparation, formatting, and client deliverables
- Support HR and onboarding administrative tasks as the team grows
- Demonstrated experience writing and managing USDA REAP grants (required)
- Experience in construction project coordination or project management in energy, utilities, or a related field
- Strong administrative and organizational skills with a high degree of attention to detail
- Proficiency with Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint)
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and deadlines independently
- Familiarity with solar, battery storage, CHP, or natural gas energy projects
- Experience with federal or state energy incentive programs (ITC, MACRS, Section 48E/45Y)
- Background in EPC project environments or working with subcontractor teams
- Associate's or Bachelor's degree in Business Administration, Construction Management, Environmental Studies, or related field
- Experience using Procore, Buildertrend, or similar construction management software
