Job Summary: We are seeking an Office Assistant who will play a vital role in ensuring the smooth operation of the office. This role involves a variety of administrative tasks, including managing office supplies, handling correspondence, and supporting other departments as needed. The ideal candidate will be highly organized, proactive, and capable of multitasking in a fast-paced environment.
- Greet and assist visitors, clients, and employees in a professional and friendly manner.
- Answer and direct phone calls, taking messages as necessary.
- Manage and distribute incoming and outgoing mail and packages.
- Maintain office supplies inventory by checking stock and ordering new supplies as needed.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Assist in the preparation of company reports, presentations, and correspondence.
- Perform data entry and maintain accurate records and files.
- Support HR, Finance, and other departments with administrative tasks and projects.
- Ensure the office is clean, organized, and well-maintained.
- Handle confidential information with discretion and professionalism.
- High school diploma or equivalent; Associate’s degree or higher preferred.
- Proven experience as an office assistant, administrative assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
