The FIELD ADMINISTRATOR position is a very important part of the behind the scenes management, which communicates directly to the Calgary office. This position handles a number of different tasks including job tracking, payroll, safety, etc. The FIELD ADMINISTRATOR will also be in compliance with all company safety policies and procedures.. The FIELD ADMINISTRATOR will report to the Crew Manager and to the Operations Assistant.
- Required to attend all crew safety orientations and hazards meetings that pertain to the job.
- Required to do all aspects of job tracking including but not limited to production, safety, payroll, and hotel.
- Creates various sign in sheets, which include but are not limited to safety and roll call, start up, orientations, and morning meetings. Ensuring all crew sign in sheets
- Create sheets used for Payroll purposes, have crew members sign their hours at the end of the pay period.
- Attend and document all job startup meetings, safety meetings, and orientations.
- Properly file and maintain all documents pertaining to crew and job.
- Create sheet and distribute hotshot for daily crew allowance. The hotshot is returned to Crew Manager once everyone has received his or her allotted monies.
- Collect the production, data, stats, etc. from the Observer to use for daily reports.
- Collect lay out/ pick up production report from Coordinator to use for daily reports.
- Ship data tapes to head office. Coordinate with client rep/ Crew Manager about occurrence
- Input hours worked for the crew into assigned Payroll sheets.
- Collect completed vehicle inspection sheets from crew weekly to give to mechanic, send to head office once repairs have been made and the mechanic has signed off on them
- Assist in crew compliance with matters related to WCB and OH&S.
- Distribute reports, sign in sheets, safety related documents, payroll and other necessary documents to appropriate departments of the head office and/or client.
- Complete any miscellaneous reports and send to office.
- Follow office deadlines for when paperwork has to be sent in (daily, weekly, monthly)
- Perform any other duties outlined by Party Manager as well as head office
- Remote Seasonal Work – Camp & Hotel (Nov to April)
- Long work days.
- Rotation: 24 & 4, or 18 & 3
- Good computer skills, must be able to use Excel, Outlook and Word – formatting documents and creating formulas (spreadsheets).
- Data entry accuracy is a requirement
- Legible handwriting for safety meeting minutes.
- Need to be able to work independently and ask questions when necessary
- Good organizational skills
- Valid Class 5 Driver’s License is a requirement
