The salary range for this position is starting at $60,400-$84,350 depending on relevant experience, education, and qualifications. We also offer semi-annual profit-sharing bonuses based on company profits to share in the mutual success!

Who You Are:
•Bachelor’s degree in Business Administration, Human Resources, or a related field preferred.
•3+ years of experience as an Executive Assistant or Personal Assistant, preferably in a professional service or C-Level environment.
•Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
•Strong organizational and multitasking skills with impeccable attention to detail.
•Anticipatory mindset: Thinks two steps ahead to prevent issues before they arise.
•Discretion & confidentiality: Trusted with sensitive company and personal matters.
•Strong communication: Professional, polished, and clear in all written and verbal interactions.

Essential Duties and Responsibilities:
•Calendar & Scheduling Management
+ Own and manage complex, high-volume calendars for the Chief Executive Officer, Vice President of Finance, and Chief of Staff across multiple time zones.
+ Proactively prioritize and coordinate meetings, appointments, and calls.
+ Anticipate conflicts and independently resolve scheduling challenges.
•Travel & Logistics Coordination
+ Arrange domestic and international travel for executives while preparing comprehensive itineraries and travel documentation.
+ Handle last-minute changes and logistics disruptions.
•Meeting & Event Preparation
+ Prepare agendas, coordinate materials, and manage logistics for internal and external meetings (e.g., leadership workshops, company-wide meetings, and employee recognition events).
+ Take detailed meeting minutes and track follow-up actions.
+ Plan and execute internal and external meetings (e.g., coordinate logistics, including venue booking, catering, and attendee communication).
•Communication Management
+ Screen and prioritize emails, calls, and requests with professionalism.
+ Draft, format, and proofread correspondence, presentations, and reports.
+ Act as a liaison between executive leadership and internal/external stakeholders.
+ Manage confidential information with absolute discretion.
•Project Coordination & Task Tracking
+ Support the execution of company-wide initiatives by tracking timelines and deliverables.
+ Maintain visibility into strategic priorities and ensure deadlines are met.
+ Coordinate cross-functional communications and documentation to drive accountability for the Chief Executive Officer, Vice President of Finance, and Chief of Staff.
+ Build and maintain trust-based relationships with internal leaders, external clients, and vendors.
+ Understand each executive’s work style and priorities to provide personalized support.
+ Serve as a cultural ambassador and onboarding resource for new team members.
•Expense & Time Reporting
+ Track and submit expense reports for executive travel and purchases.
+ Ensure expense processes align with Ampirical policies and deadlines.
+ Maintain organized and accessible digital and physical filing systems.
+ Compile and analyze data for internal reports and leadership presentations.
