Job Title: Executive Assistant & Office Manager
Location: Onsite, Monday through Friday
Reports To: Chief Executive Officer (CEO)
Position Summary:
We are seeking a highly organized, proactive, and dependable Executive Assistant & Office Manager to support our CEO and ensure smooth day-to-day operations of our office. This is a full-time, in-person role, Monday through Friday. The ideal candidate will manage executive-level administrative tasks, coordinate personal and business travel, oversee office management duties, and assist with end-of-month billing.
Key Responsibilities:
Executive Support
•Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, and reminders
•Monitor and organize the CEO’s email inbox, flagging urgent matters and drafting responses when appropriate
•Coordinate personal and business travel arrangements, including flights, hotels, transportation, and itineraries
•Run occasional personal and business errands for the CEO as needed
Office Management
•Oversee the daily upkeep of the office, ensuring a clean, organized, and welcoming environment
•Ensure snacks are replenished and attractively arranged; maintain stocked water and beverage supplies in the fridge
•Manage office inventory and supplies; reorder as needed and track usage
•Greet and assist all office visitors in a professional and friendly manner
•Receive and distribute mail and deliveries throughout the office
•Serve as the main point of contact for office vendors, maintenance, and facility-related matters
Billing Support
•Assist a Project Manager at the end of each month by preparing and submitting billing documentation
•Perform light administrative finance tasks related to billing as requested
Requirements:
•Proven experience as an Executive Assistant, Office Manager, or similar role
•Excellent calendar management and organizational skills
•Strong written and verbal communication skills
•Ability to multitask and prioritize daily workload with minimal supervision
•High level of discretion and confidentiality
•Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
•Familiarity with light billing or accounting software is a plus
•Valid driver’s license and reliable transportation for occasional errands
Work Environment:
•This is a full-time, in-office role (not remote or hybrid)
•Standard business hours: Monday through Friday, 8:00 AM – 5:00 PM
