The Executive Assistant to the CEO / Chief of Staff will play a critical role in ensuring the CEO’s productivity and efficiency by managing their calendar, handling outstanding items, and being the CEO’s right-hand person. The ideal candidate will be a highly organized, proactive self-starter with a background in sustainability or renewable energy. You must be able to stay one step ahead, possess strong communication skills, and be comfortable liaising with multiple teams and clients across the company.
Manage and maintain the CEO’s complex calendar, including scheduling meetings, appointments, and travel arrangements.
Track and prioritize the CEO’s action items, ensuring follow-ups are completed in a timely manner.
Act as a gatekeeper, screening calls, emails, and requests while providing effective solutions to streamline the CEO’s day-to-day responsibilities.
Coordinate and communicate with various internal teams, ensuring cross-departmental alignment and assisting in managing company-wide initiatives.
Organize and prepare materials for meetings, including briefing documents, reports, and presentations.
Serve as the point of contact between the CEO and external partners, clients, and stakeholders.
Assist in the execution of special projects, acting as a liaison between the CEO and key project managers.
Maintain confidentiality and exercise discretion in handling sensitive information.
Monitor industry trends and provide relevant insights to the CEO regarding renewable energy related developments, particularly in the wave energy sector
Perform other administrative tasks and duties as needed to support the CEO in achieving company objectives.
Required: Minimum of 2+ years of experience as an Executive Assistant, Chief of Staff, or similar role
Strong command of English (spoken and written) — must be fluent and professional
Proven ability to manage complex schedules and prioritize a high volume of tasks in a fast-paced environment.
Exceptional written and verbal communication skills; ability to communicate clearly and professionally with internal teams and external partners.
Highly organized, detail-oriented, and proactive—must be able to anticipate needs.
Ability to maintain confidentiality, discretion, and professionalism at all times.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools.
