As Scout's Executive Assistant, you will serve a critical function. You will provide administrative support needed to enable the six members of our Executive Committee and other senior leaders as necessary to focus on the strategic aspects of the business. Organizationally, you will serve as a pivotal part of our team dynamic - facilitating greater collaboration between our Executive Committee and the rest of the Scout team.
Responsibilities
You will serve as a resource for a number of issues and an important conduit to members of our Executive Committee. You will help facilitate their engagement with key staff and partners and navigate systems at Scout and at Brookfield. It is essential that you exhibit all of Scout's values in every interaction as a representative of Scout and the Executive Committee members.
This is a client service-focused role. While members of the Executive Committee are your primary "clients," you will provide a service to every Scout and every external partner that interacts with that core client group. Putting their needs first and finding ways to get to "yes" when presented with challenging requests while still adhering to all corporate policies and protocols are key elements of success for this role.
Your key areas of responsibility will be as follows:
•Anticipate and proactively address challenges in the day-to-day activities of Executive Committee members.
•Prioritize requests based on level of urgency and importance to Scout rather than hierarchical status organizationally.
•Proactively check in daily with each member of the Executive Committee to facilitate efficient communication and completion of necessary tasks.
•Develop ways to drive efficiency in your interaction with the members of the Executive Committee and to provide visibility into the status of their requests in your queue.
Travel and Expense Support
•Arrange travel itineraries, accommodations, and logistics for seamless travel experiences for members of the Executive Committee.
•Complete expense reports for members of the Executive Committee with precision and compliance with all applicable deadlines and protocols.
Facilitating Stakeholder Interface
•Act as a resource to help facilitate interface between members of the Executive Committee and internal/external stakeholders, demonstrating strong communication and interpersonal skills and a solution-seeking mindset.
•Assist with calendar management for Scout's Executive Committee members, soliciting input on prioritization and scheduling of meetings and appointments and resolution of scheduling conflicts
Executive Committee Member Meeting Support
•Provide timely logistical support to Executive Committee members in scheduling, sending invitations for, setting up and cleaning up meeting rooms for, and ordering meals / refreshments for key meetings.
•Help organize agendas for and take and post meeting notes for key meetings, such as Management Meetings, Risk Committee meetings, and others as requested by a member of the Executive Committee.
•Communicate deliverable timelines/deadlines for materials for key meetings to relevant department heads and assist in integrating materials as requested.
•Assemble relevant meeting materials for key internal and external meetings and provide to relevant members of the Executive Committee using collaborative technologies (e.g., SharePoint).
•Initiate and manage for Executive Committee members the online collaborative aspect of key meetings (e.g., Teams/Zoom), ensuring a smooth technical experience for all participants.
Administration and compliance support on behalf of Executive Committee members
•Compliantly navigate all internal and Brookfield administrative processes on behalf of the Executive Committee members in a timely manner while demonstrating respect for partnering teams.
•Assist with filing critical information, documents, and records on SharePoint and/or other designated platforms, and other administrative needs for easy access.
•Assist in creating, editing, formatting, and organizing documents, reports, and presentations with a high standard of quality.
•Coordinate officer signatures on contracts, agreements, and other documents, working within established protocols
Scout Special Projects Support
•Provide necessary logistical support, as directed by members of the Executive Committee and their delegates, on special projects and initiatives.
•Perform ad-hoc projects and duties as required or assigned, reporting to internal leads designated by a member of the Executive Committee.

Your background will look something like this:
•Bachelor's degree from an accredited institution or equivalent work experience.
•Experience as an executive assistant in a high-paced setting is required.
•High functioning IT skills with experience on various platforms (SharePoint, Teams, Constant Contact, Process Street, etc.), including high functioning proficiency with Microsoft Office.
•Interest in and passion for renewable energy.
•Ability to travel as needed (minimal travel anticipated).
•Authorized to work in the United States.
Timeline and Location
Scout aims to fill the Executive Assistant position by July 2025.
The Executive Assistant will work out of our Boulder, CO office 5 days a week (Monday - Friday) on a 8:30 am - 5:00 pm schedule.

Benefits
Target base salary: $80,000 - $95,000 depending on experience.
