SUMMARY
This position will be responsible for providing professional, efficient and effective administrative and time management support to the Senior Executive Team of Energera. This position will interface with all levels of the organization, including the Board of Directors and Vice Presidents. Key abilities will require a high level of confidentiality, advanced writing skills and excellent organizational abilities. You will develop strong communications and work cooperatively with various departments.
SPECIFIC DUTIES AND RESPONSIBILITIES including but not limited to:
•Professional Association Memberships, filings, updating profiles
•Electronic filing of various documents
•Coordinating travel, preparing Itineraries
•Setting up external and internal meetings
•Diarizing action items, and follow up
•Tracking documentation and designing document processes as part of ISO Compliance processes
•Preparing of Board Material packages and distribution
•Assisting with organizing external meetings and materials
•Event planning for social events in coordination with the Office Social Committee
•May act as Recording Secretary at meetings, taking minutes and preparing minutes of meetings
•Confidential correspondence/memos
•Transcription of Dictation
•Assist with Systems, ISO document control and administration
•Facility Startups research and coordination of installations/office systems
•Assisting other departments with obtaining required historical documents
•Exercise discretion, good judgment and discernment in communications
•Booking and organizing events (eg. Leadership Retreats, Strategy Sessions, etc.)
•Purchase office supplies and equipment and maintaining proper stock levels
•Work with the Procurement Department to source, contract and purchase office equipment
•Developing, reviewing, and improving administrative systems, policies, and procedures
•Compliance with quality and safety management requirements
•All other duties as assigned
QUALIFICATIONS
•Bachelor’s degree in business administration or related field (preferred)
•3-5 years of experience as an Executive Assistant
•Prover track record supporting senior leadership or C-suite executives
•ISO administration experience (considered an asset)
•Proficiency with MS Office applications
•Familiar with SharePoint
•Excellent oral and written communication skills
•Detail oriented with analytical skills
•Highly motivated and enthusiastic with a demonstrated ability to use own initiative and make independent decisions
•Ability to maintain confidentiality at all times
•Exceptional organizational and time management skills
•Ability to work independently in a fast paced environment, handling multiple, simultaneous tasks, prioritizing and meeting deadlines effectively
•Ability to work under pressure from time to time while maintaining a professional and respectful demeanor towards others
•Ability to multitask and learn quickly, while being adaptable to change
•Strong interpersonal skills and team orientation
