Schedule: 40 hours a week, 8 am – 5 pm, Monday through Friday
We are seeking a highly skilled and motivated Executive Administrative Assistant to support four dynamic executives in a fast-paced, professional environment. The ideal candidate is a proactive self-starter with exceptional organizational skills, attention to detail, and a positive, can-do attitude. This role requires advanced proficiency in Microsoft Office, particularly PowerPoint and Excel, and the ability to manage competing priorities with enthusiasm and efficiency.
- Provide high-level administrative support to four executives, including calendar management and meeting coordination.
- Prepare, edit, and format presentations using Microsoft PowerPoint and data reports using Microsoft Excel.
- Manage travel arrangements, including booking flights, accommodations, ground transportation, and preparing detailed itineraries.
- Process and track expense reports accurately and on time.
- Administer and maintain the company’s CRM system, ensuring data accuracy and timely updates.
- Coordinate logistics for internal and external meetings, events, and conference calls.
- Handle general office duties such as ordering supplies, managing mail, filing, and maintaining organized electronic records.
- Assist in special projects and provide ad-hoc support as required by the executive team.
- Anticipate the needs of the executives and take initiative to solve problems before they arise.- 5+ years of experience supporting senior executives in a corporate environment.
- Advanced proficiency in Microsoft PowerPoint and Excel (PivotTables, VLOOKUPs, charts, etc.).
- Experience with CRM platforms (e.g., Salesforce, HubSpot, or similar).
- Strong organizational and time management skills with the ability to multitask effectively.
- Excellent verbal and written communication skills.
- High level of discretion and confidentiality.
- Energetic, enthusiastic, and resourceful team player with a “no task too small” mindset.
- Strong problem-solving skills and the ability to work independently with minimal direction.
