The Document Controller is responsible for managing, tracking, and organizing project documentation to ensure accuracy, quality, and compliance with internal standards and customer requirements. This role supports project execution by maintaining a structured and efficient submittal and returns process, ensuring timely distribution and retrieval of documents across all parties.
· Collaborate with project personnel to develop and maintain the Document Register List, outlining all required deliverables and due dates.
· Collect, log, track, and distribute project documents in alignment with the Document Register.
· Upload, retrieve, and manage documentation within internal and external document control systems, ensuring version control and compliance with project requirements.
· Coordinate and track document submissions and returns with clients and contractors, maintaining effective communication and providing updates as needed.
· Ensure all technical documents are accurate, up to date, and properly saved in designated project folders.
· Notify responsible parties of upcoming deliverable deadlines and report any delays to management.
· Support the preparation and submittal of manufacturing documentation and final record books.
· Maintain proper filing and archiving of project documentation in accordance with contractual and regulatory requirements.
· Ensure all documentation complies with project-specific standards and contractual obligations.
· Attend and actively participate in project meetings to support document control efforts.
· Identify and communicate key document-related milestones, goals, and expectations to project and management teams.
· Continuously evaluate and improve document control processes for greater efficiency and accuracy.
· Exhibit strong core competencies in communication, customer service, teamwork, initiative, accountability, and adaptability.
· Demonstrate strong attention to detail, ensuring accuracy and completeness in all project-related tasks.
· Coordinate and communicate effectively across various engineering, project management and company disciplines.
· Proficient in the use of Microsoft Word, Excel, and Projects.
· Must possess the ability to work on multiple projects simultaneously.
