As a Document Control Coordinator, you will ensure critical documents are accurately managed and easily accessible across teams by maintaining consistent naming, numbering, classification, and filing practices. Your goal will be to support the Document Control Program by efficiently organizing both electronic and hard copy records produced by technical teams and departments. Your Responsibilities
•Facilitate document naming and numbering according to Irving Oil’s approved system
•Perform quality checks on P&IDs, engineering drawings, vendor documents, and work packages for completeness and accuracy
•Review purchase orders to identify documentation requirements at each project phase
•Monitor due dates for technical deliverables and critical safety data (PSM-201)
•Manage correspondence flow, ensuring outgoing documents are accurate, properly routed, and secure
•Organize and maintain records and databases to meet security access standards
•Track project documentation status to ensure timely submissions
•Validate project documentation for format, completeness, and contract compliance
•Oversee the full lifecycle of project documents—approvals, updates, markups, and supplier transmittals—in alignment with Documentum policies
Your Skills
•Strong problem-solving abilities, sharp attention to detail, and effective time management
•Proficient in Microsoft Office and other software applications
•Skilled in multitasking and confident decision-making in high-pressure environments
•Excellent analytical skills with a focus on data-driven insights
•Highly adaptable with a sense of urgency and flexibility toward shifting priorities
•Able to set and adjust priorities based on business objectives and stakeholder needs
Your Experience
•Minimum 3 years’ experience in Administration
•Document Control experience
•Post-secondary education in Administration
