Job Summary
Provides day-to-day administrative support for all activities within the Distribution Operations area office, including data entry, work order processing, bi-weekly bargaining unit payroll entry and reconciliation of payroll issues, assisting with meeting arrangements (reserving auditorium and conference rooms), and filing, record maintenance.
Essential Functions
•Perform all needed administrative duties including requisitioning and expediting request for material, tools, and office supplies; typing, distributing, and filing documents; maintenance of electronic employee time records, maintain filing system for tailboards, property damage reports and signed timesheets. (for Distribution linemen, Primary Metering, and Major Underground groups)
•Clear error log, enter missing time, run over/under report, and print timesheets when needed in SAP.
•Complete Quality Control Checklist for Payroll activities.
•Enter weekly duty bonuses allotted to linemen that qualify for the duty bonus pay provided by the supervisors.
•Keep record of vacation/holiday balances and work schedules for distribution operations and major underground personnel
•Maintain and update service center Seniority list for linemen.
•Performs work order creation in SAP to ensure the accuracy of records used to construct, maintain, and operate the company’s electric delivery system. Any work that does not require a pole loading analysis (PLA) or requires a structural analysis.
•Completes work order completion processes; prioritize and track issues through resolution including communication of results to key stakeholders.
•Creates and analyzes reports to verify accuracy and timeliness of work order origination, completion and error reporting including 60-90-120-240 day, Retirement, Unitization, and CWIP reports.
•Communicate with Distribution Operations/Major Underground personnel to learn job status or schedule.
•Interface with building maintenance personnel as needed to ensure repair and maintenance of facilities.
•At the request of distribution operations / major underground personnel retrieve relevant information pertaining to the status of the service request..
•Maintains records of prescription safety glasses purchased, and reimbursement for mileage by entering it in One-Pay; process credit card expenses in One Pay for head linemen, supervisors and or managers as requested by Electric Operations.
•Acts as department liaison with outside vendors for printer agreement
•Notarize affidavits for Field Service Representatives and other distribution operations / major underground groups.
•No WOTS report orders associated with Service Consultants. DOSAA’s will only correct trouble orders or work order maps with a DOSAA’s employee number.
•Other duties as assigned by Supervisor, with following exceptions:
•May volunteer to coordinate non-profit activities within the service center (i.e. Blood Drive, March of Dimes, United Way) but not required as part of essential duties/responsibilities.
•May volunteer to present safety topics at safety meetings or complete safety observations but not required as part of essential duties/responsibilities.
•No additional QA/QC work.
Education Description
Requires a high school diploma or equivalent. Knowledge of basic mathematics, English grammar, and punctuation.
Experience
•Requires a minimum of three (3) years in distribution construction, reliability, customer service and or marketing position. Related experience performing clerical and /or administrative duties, including proficiency with word processing, spreadsheet, and email software.
•Proficient in standard office software (Microsoft Office suite) and computer systems.
•Knowledge of SAP, CRM, IRIS, GViewer, NetCADOPS, SharePoint, One Pay, Talent Hub screens and programs preferred.
•Able to communicate effectively with customers, staff, and field personal through personal contact or using telephone or radio devices.
•Able to demonstrate knowledge and or possess the aptitude to learn all software and programs necessary to complete job functions.
•Able to create basic maintenance orders for security lights and other distribution equipment.
•Able to work with minimal supervision.
•Able to communicate basic outage inquiries to customers, linemen and/or supervisors.
•Have knowledge of or possess the aptitude to learn the Alight Group procedures for time keeping purposes.
•Able to develop, analyze, interpret, and communicate technical information for drawings, reports, and documents.
•Able to operate a motor vehicle.
•Able to demonstrate commitment to compliance with applicable laws and regulations, the Company’s Ethics and Compliance Code of Conduct, and other Company policies and procedures and do so consistently, take all required training courses and do so timely.
•Able to demonstrate respect for all individuals, adhere to the Company’s values and business practices and do both consistently.
Physical Requirements
•Able to demonstrate and apply manual dexterity to operate a personal computer or laptop.
•Able to see, hear, speak, and distinguish colors.
•Able to view monitor or screen for extended periods of time.
•Able to operate a personal computer or laptop and other office equipment, such as multi- line telephones, speaker phones, radio, photocopier, facsimile machine, calculator and scanner.
•Able to exert up to 10 pounds of force occasionally, and/or minimal amount of force frequently to lift, carry, push, pull or otherwise move objects.
•Able to read, write and speak English.
•Able to bend at waist, stoop, crouch, kneel, squat, walk, handle, carry, lift, pull, push, and reach.
Working Conditions
•Able to work in an office environment with moderate pressure to meet deadlines.
•Able to work overtime (scheduled and unscheduled), including reporting early, skipping lunch and/or working late, as needed to meet established deadlines.
•Able to travel occasionally to other work locations, for meetings or for training, very infrequently overnight.
•Able to work with minimal supervision and with many deadlines, schedules, and timelines.
•Able to work either alone and/or at locations other than normal work locations.
•Able to be highly dependable or reliable, including punctual and regular attendance.
•Able to support Emergency Operating Plan.
•May be required to remain in the service area during emergency events and assume responsibilities assigned by the company to aide in restoration efforts.
