Job Summary:
We are seeking a proactive and organized Director of Operations to ensure the smooth operation of various departments. The Director of Operations will oversee scheduling, installation, compliance, and project progress. The ideal candidate should have strong leadership and communication skills, deep project management knowledge, and expertise in building and safety regulations to drive operational efficiency.
The Director of Operations is a crucial support to the CEO, managing and executing tasks, overseeing project operations, and acting as a trusted aide. This position requires strong leadership and collaboration skills to align with the CEO's goals, translate the CEO's vision into actionable plans, and guide project teams. The Director of Operations maintains discipline, ensures compliance, monitors timelines, and addresses project issues. Challenges during project implementation are met with data analysis and decisive decision-making to keep projects on track and within budget. The Director of Operations carries significant responsibilities, representing the CEO's authority and making decisions in their absence, supporting the CEO's vision and strategic objectives.
Responsibilities:
•Direct and monitor field and scheduling personnel to ensure smooth project operations.
•Oversee and ensure the timely scheduling and execution of projects, including installation activities.
•Monitor and enforce compliance with project timelines, taking a proactive approach to maximize efficiency and minimize delays.
•Ensure all projects adhere to building and safety regulations.
•Collaborate with Sales and Purchasing teams to manage additional material requirements and costs for ongoing projects.
•Review and ensure accuracy of all invoices submitted by subcontractors for payment.
•Monitor changes in scope of work to ensure projects are completed within estimated margins.
•Maintain regular communication with customers and sales representatives, keeping them informed of job progress.
•Keep scheduling and project management reporting up-to-date to ensure all team members are well-informed and to create a comprehensive project archive.
•Handle warranty and service requests efficiently and effectively.
•Forecast demand from builders, salespersons, and other stakeholders to ensure operational smoothness.
•Organize and conduct regular meetings with subcontractors to discuss quality standards and drive continuous improvement in installations.
•Monitor and assess new installers to ensure compliance, quality, and performance.
•Conduct random proactive visits to job sites to monitor progress and address any issues.
•Review work orders to ensure they contain all necessary information for successful completion by installers.
•Review work orders submitted by installers and address any discrepancies or concerns.
•Develop and execute standard operating procedures (SOPs) and improvement plans.
•Serve as a reliable source of industry knowledge and expertise, providing solutions to specific problems.
•Direct Field Supervisors on daily routes and demand regular updates on active jobs.
•Manage installers, including recruitment and onboarding processes.
•Maintain professional and technical knowledge by attending workshops, establishing networks, benchmarking best practices, and participating in professional societies.
•Oversee warehouse operations, including coordination with the Warehouse Manager to ensure efficient operations, timely shipment receiving, awareness of inbound products to meet delivery deadlines, smooth picking and staging of outgoing materials, on-time delivery of materials to job sites, and prioritization of rush orders.
Qualifications:
•Bachelor's degree in a relevant field (e.g., Business Administration, Operations Management) or equivalent experience.
•Proven experience in project management and operations in the flooring industry.
•Knowledge and experience with flooring materials, installation, and best practices.
•Strong leadership and team management skills.
•Excellent organizational and multitasking abilities.
•Exceptional communication and interpersonal skills.
•In-depth knowledge of building and safety regulations.
•Familiarity with project management software and tools.
•Ability to work well under pressure and meet tight deadlines.
