We are seeking a dependable and highly organized Customer Relations Manager (CRM) to join our team at ACL. This role is responsible for executing and managing day-to-day administrative operations while providing essential support to our customers, sales force and production teams.
As the primary customer-facing representative of ACL, the CRM must be comfortable handling a variety of customer interactions, including the occasional high-pressure conversation, with professionalism and empathy. From the first phone call to the collection of final payment, the Customer Relations Manager ensures a smooth and consistent customer experience.
· Manage daily office functions including phones, emails, customer appointments and contract signings and occasionally assisting with permits and inspections.
· Handle incoming inquiries and route them to appropriate staff.
· Provide administrative support to the company General Manager, President and corporate staff with scheduling, meeting preparation, and internal communications.
· Efficiently process invoices and payments in coordination with job completion and accounting department preferences.
· Track accounts receivables and follow up on outstanding balances and invoices.
· Maintain understanding of current project pipeline through AccuLynx and vet accuracy and understanding of other departments.
· Generate reports from AccuLynx for production, sales, and management meetings as requested.
· Be the first point of contact for in-person customers; set the tone with a positive, professional demeanor.
· Assist the Production team as needed with scheduling inspections, installations, color selection and service calls.
· Follow up with customers post-installation to ensure satisfaction, company reviews and prompt payment.
· Assist sales reps with sales/customer document preparation and submittal to the Production team.
· Coordinate with subcontractors and vendors to support accurate invoicing and closeouts.
· Foster a positive and productive work environment.
· Work collaboratively with the Admin Assistant to ensure systems cross-training and maximize office work-flow efficiency.
· Assist with onboarding of new hires as it pertains to customer service functions/standards and office orientation.
· Assist with ensuring communication flows smoothly between office and field staff.
