Job Overview: We are seeking a creative and detail-oriented Design Assistant to join our dynamic team. Position Overview: The Design and Project Management Assistant will report directly to the owner, providing critical support in executing design projects, managing client relations, and overseeing administrative responsibilities. This position requires an individual who excels in both creative design work and efficient project coordination.
Work Schedule: Monday – Friday, 7:00 AM – 3:30 PM
Key Responsibilities:
•Act as the primary executive assistant to the owner, supporting daily operations and executing various project tasks.
•Coordinate and attend client meetings, understanding project scopes, client requirements, and delivering exceptional service.
•Assist in sales activities, including accompanying the owner on sales appointments, gathering requirements, and contributing to client presentations.
•Create and manage detailed design portfolios tailored to client projects.
•Develop accurate project plans and timelines, ensuring projects stay on schedule.
•Utilize design software, specifically Chief Architect, to draft, modify, and finalize design concepts for client approval.
•Assist in the development of design concepts and presentations.
•Collaborate with designers to create visual materials, including graphics, layouts, and mock-ups.
•Conduct research on design trends, materials, and techniques to inform project decisions.
•Prepare and organize project files, ensuring all materials are up-to-date and easily accessible.
•Participate in brainstorming sessions and contribute creative ideas for projects.
•Support the team in administrative tasks related to project management.
•Coordinate with vendors and suppliers as needed for materials or resources.
•Communicate effectively with clients, vendors, and internal teams to streamline workflows and maintain project clarity.
•Maintain accurate project records and documentation to support overall project transparency and efficiency.
Qualifications:
•Previous experience in a design-related role or internship is preferred but not required.
•Proficiency in design software such as Chief Architect is required.
•Exceptional organizational skills with attention to detail.
•Excellent communication skills and ability to work collaboratively within a team environment.
•Comfortable working directly with clients and conducting professional meetings.
•Ability to multitask, prioritize responsibilities, and meet strict deadlines.
