Located on the Walker Lane trend in Esmeralda County, Nevada, about 30 miles south of Tonopah, the Goldfield District Project can be accessed via U.S. Highway 95 from Las Vegas or Reno. This project is conventional open-pit, heap leach project in a prolific mining jurisdiction that provides substantial upside potential.
Goldfield District Project promotes a drug and alcohol-free workplace and has adopted a zero-tolerance policy with respect to alcohol or unauthorized drugs on site.
We have an opportunity for a Projects Coordinator to join our team in Goldfield District Project in Goldfield, Nevada.
The Projects Coordinator will play a key role in supporting the Project Leadership Team by providing logistical and administrative coordination to support the project by overseeing various administrative tasks. The position will be responsible for entering purchase requests, executing purchase orders, reviewing invoices and contracts to ensure they remain within project allotted budget.
Your responsibilities will include, but are not limited to:
- Perform executive support tasks to ensure organizational sustainability.
- Draft, prepare reports, presentations, and data as needed.
- Develop and implement office administrative systems and processes.
- Assist in preparing and managing budgets, especially tracking and analyzing administrative expenses.
- Process payments, payroll, reimbursements, and invoice management using SAP or similar platforms.
- Liaise with vendors and contractors to ensure timely delivery of services and cost-effective procurement.
- Assists with project development and planning to ensure efficient service and organization of the office.
- Ensure compliance with internal policies during the payment process.
- Support year-end financial processes including accrual entry preparation, review of open commitments, and coordination with Finance for accurate expense reporting.
- Facilitate contract and purchase order closeout by ensuring services are complete, deliverables accepted, final invoices processed, and documentation archived.
- Coordinate with internal stakeholders to obtain and track Certificates of Release or other contractor-required closeout documentation.
- Assist in year-end audit support by organizing and providing documentation, tracking outstanding items, and responding to audit inquiries.
- Track contract administration deliverables and milestone payments to ensure compliance with commercial terms.
- Maintain contract documentation logs and support project team in issuing notices, amendments, and change order tracking.
- Coordinate vendor onboarding and ensure alignment with site access, insurance, and safety compliance requirements.
- Collaborate with project controls team to reconcile purchase order status, accruals, and budget variances.
- Generate routine and ad hoc cost reports using SAP or equivalent, flagging anomalies or forecast risks.
- Maintain trackers for committed vs actual costs for major contracts and procurement packages.
- Ensure administrative documentation is filed in accordance with corporate document control standards (e.g., contract closeout packages, certificate tracking, approvals, correspondence logs).
- Liaise with Document Control (if applicable) to ensure site documentation is structured and retrievable.
- Support internal audit readiness by organizing documentation and demonstrating compliance with purchasing, contract, and approval procedures.
- Maintain awareness of and support adherence to MSHA, environmental, and corporate policy compliance within administrative functions.
- College diploma in Business, Administration or related field. MBA a strong asset.
- 10+ years in administrative, office management, or business coordination roles.- Prior experience in mining, industrial, or international trade environments is highly desirable.
- Proficiency with Microsoft Office and SAP.
- Excellent organizational, communication, and leadership abilities.
- Strong financial acumen, problem-solving, and decision-making capabilities. Demonstrated ability to manage complex logistical tasks and vendor relationships.
