The Construction Project Administrator provides essential administrative support to project managers, field teams, and subcontractors on commercial construction projects, with a strong emphasis on structural steel. This role ensures smooth documentation flow, contract tracking, compliance monitoring, and communication between project stakeholders. The Project Administrator helps keep projects organized, on schedule, and in alignment with company standards and client expectations.
Key Responsibilities:
Project Support:
•Assist project managers with the preparation, tracking, and organization of project documentation (RFIs, submittals, change orders, meeting minutes, etc.).
•Maintain and update project logs (RFI, submittals, COs, inspections, etc.).
•Support project start-up and closeout processes, including compliance documentation and record archiving.
Document ControlCommunication:
•Manage the receipt, distribution, and tracking of drawings, specs, and revisions.
•Coordinate document submittals between subcontractors, vendors, and design teams.
•Ensure current versions of documents are accessible to project stakeholders.
ContractCompliance Tracking:
•Assist with the preparation and administration of subcontracts, purchase orders, and vendor agreements.
•Track insurance certificates, lien waivers, and other compliance documents to ensure subcontractor eligibility and timely payments.
SchedulingCoordination:
•Help coordinate project meetings, prepare agendas, and document minutes.
•Maintain internal calendars and support logistics for deliveries, inspections, and milestone tasks.
FinancialBilling Support:
•Assist with invoice tracking, coding, and reconciliation.
•Support the preparation of pay applications and progress billing documentation.
Qualifications:
Required:
•2+ years of construction administration experience, preferably in structural steel or commercial construction.
•High school diploma or equivalent.
•Strong proficiency in Microsoft Office (Word, Excel, Outlook).
•Familiarity with construction management software (e.g., Procore, PlanGrid, Bluebeam, or similar).
•Excellent organizational skills and attention to detail.
Preferred:
•Experience supporting structural steel, fabrication, or erection teams.
•Understanding of construction documents, schedules, and terminology.
•Associate's degree or construction-related coursework is a plus.
