Reports To: Acting Corporate Secretary
Location: Based out of Grande Prairie

OVERVIEW
The Communications and Corporate Administrative Assistant will play an integral role in the administrative needs of both the Communications and Corporate Teams and the upholding of Aquatera’s Core Values. This position will primarily report to the Acting Corporate Secretary.
KEY RESPONSIBILIES
The successful candidate:
•Will be legally entitled to work in Canada without limitations
•Will require availability occasionally after regular business hours and on weekends
Assist the Communications Team with the following tasks:
•Provide support for internal and external events (including but not limited to Water|Earth|Innovation conference, employee engagement events, and community and public relations events, etc.) Organize office engagement and celebration activities (birthday/milestone recognition)
•Coordinate and facilitate school presentations and facility tours
•Provide support in inventory control for marketing and promotional materials
•Monitor office supplies and order as needed (e.g. coffee supplies, stationary, etc.)
•Maintain electronic filing systems
•Organize and prepare for meetings including scheduling, minute taking, agenda preparation, catering as applicable, and setup/cleanup
•Support the development of corporate documents and publications
•Provide backup support for the Communications Team
•Perform other duties as required
Assist the Corporate Team with the following tasks and will:
•Organize and prepare for meetings including scheduling, minute taking, agenda preparation, catering as applicable, and setup/cleanup (Management Team Meetings, Executive Huddles)
•Assist with document preparation and formatting
•Assist with the maintenance of files/records
•Assist with contract document filing and file maintenance
•Provide backup support for the Corporate Secretary and the Corporate Assistant
•Coordinate travel arrangements
•Process expense claims and credit card reconciliations
•Perform other duties as required
SKILLS, ABILITIES AND ATTRIBUTES
•Dependable and motivated with a high level of integrity and work ethic
•Self starter with public speaking skills
•Proficient in Microsoft Suite, Adobe Pro and in creating PDF packages and forms and adapt to new technology
•Strong interpersonal skills with the ability to work independently and as part of a team
•Strong writing skills with the ability to write and format moderately complex correspondence and manage files and projects from start to finish
•High flexibility with strong interpersonal skills that allow one to work effectively in a dynamic and diverse environment, while remaining calm and poised in challenging situations
•Ability to deal with people sensitively, tactfully, diplomatically, and professionally at all times
•Ability to effectively communicate both verbally and in writing
•Ability to interpret and implement company policies and procedures
•Demonstrate time management skills with the ability to meet deadlines and work in an organized and systematic manner while prioritizing and managing conflicting demands
•Strong sense of ethics and the ability to handle sensitive or private information with tact, discretion and decorum
QUALIFICATIONS
The ideal candidate will have:
•Administrative/Business Diploma and/or equivalent office experience
•Two to three years of relevant experience
•Valid driver's license with a clean driving abstract
As conditions of employment the following will be required:
•Provision of a valid Canadian Driver’s licence, minimum Class 5
•Provision of a driver’s abstract satisfactory to the Employer
•Satisfactory completion of a comprehensive drug and alcohol test
