Key Responsibilities:
Dawson Landholdings (14 hrs/week)
•+ Oversee Divvy/Bill processes including issuing cards, handling transaction requests, end-of-month reconciliation, and employee training.
+ Monitor company spend, track outstanding transactions, and provide regular updates to leadership.
+ Review GL/category lists monthly and ensure accurate coding.
•+ Coordinate onboarding and timesheet management; support payroll processing in partnership with HR and finance.
+ Communicate with employees to help manage hours and reduce overtime.
•+ Maintain the petty cash log and reconcile with expense reports.
+ Ensure cash contributions and reimbursements are accurately recorded and aligned.
•+ Update and maintain monthly PTO balances.
•+ Enter bills into QuickBooks in a timely and accurate manner.
•Ongoing Administrative Projects
•+ Assist with special initiatives and administrative projects as needed.
P&K Stone (26 hrs/week)
•+ Sort and distribute mail, file documents, and restock office supplies.
+ Maintain cabinets, closets, and cubicles; help set up and organize workspaces.
+ Assist with cubicle projects and office improvements.
•Recordkeeping & Financial Support
•+ Record QuickBooks notes after payments.
+ Send remittances to vendors.
+ Assist with month-end statement reviews for discrepancies.
•Logistics & Vendor Coordination
•+ Manage hotel reservations and coordinate credit card receipts.
+ Track porta potty locations and coordinate service/setup for new job sites.
+ Support AP with freight data collection and entry.
•+ Create purchase orders and item receipts for CTR.
•+ Work with team members to track certificates of insurance (COIs) and monitor expiration dates.
+ Communicate reminders and assist with documentation management.
•+ Review and process invoices from insurance carriers.
•+ Customer appreciation and other P&K Stone event assistance.
•+ Contribute to ongoing project needs and cross-functional administrative initiatives.
Qualifications:
•2+ years of administrative experience
•Proficiency with Microsoft Office Suite
•+ QuickBooks, Bill (Divvy) and UKG experience a plus
•Strong time management and organizational skills
•Excellent written and verbal communication
•Comfortable working in a fast-paced, multi-tasking environment
•Self-starter with a team-oriented mindset
Work Schedule:
•Monday to Friday, 40 hours per week
•Fully in-person, based out of McKinney, TX office
