This position will serve as the primary point of contact at the front desk, providing exceptional reception services including greeting guests, maintaining the visitor log, managing incoming calls, distributing mail, and maintaining an organized, professional front office environment. In addition to front desk responsibilities, this position will provide administrative support to manufacturing operations as well as confidential administrative support to the Human Resources department, requiring discretion, attention to detail, and the ability to manage sensitive information appropriately. The ideal candidate is adaptable, proactive, and skilled at balancing multiple priorities in a dynamic, manufacturing environment.
- Maintain front reception desk and greet all incoming customers, including the public.
- Answer main phone line and transfer to appropriate staff members
- Maintain inventory of office supplies using LEAN initiatives and tools (Kanban, etc.). Lead internal team-building events by coordinating logistics, collateral, catering, and setup and tear-down
- Provide support to visiting team members/groups from other Advance locations
- Ensure a clean and safe work environment, following 5S standards
- Provides consistent and professional internal and external customer service
- Assist with printing and distribution of all weekly production schedules and travelers
- Assists with printing and distribution of all weekly production documents.
- Work closely with production supervisors to maintain an accurate account of all production numbers and enter collected data for individual efficiency calculations
- Work closely with the Safety/quality team to print and distribute Safety/quality Alerts
- Assist the Purchasing department with purchase order data entry as needed
- Act as a plant HR back-up for timecards, employee inquiries, onboarding and hiring activity.

- High School Diploma or equivalent
- Associate’s or bachelor’s Degree in a related field or relevant certification preferred
- 2-3 years of customer service and/or administrative experience
- Prior HR exposure preferred
- Demonstrates absolute discretion and sound judgement when handling sensitive employee relations matters, maintaining strict confidentiality to protect employee privacy and organizational integrity.
