Must be Flexible and Willing to work from Multiple Locations as needed. The ideal candidate is an experienced Administrative Assistant with a strong background in analytical reporting, and data management. Demonstrate exceptional skill in compiling, interpreting, and presenting complex data to support strategic and operational decision-making. Is able to and comfortable working in a fast-paced environment. Adept at prioritizing multiple tasks while meeting tight deadlines. Experienced in managing specialized records, preparing detailed reports, and maintaining organized documentation across various systems.
Additionally, the candidate demonstrates strong verbal and written communication skills, with a proven ability to coordinate effectively with vendors, contractors, and representatives from state, county, and local government agencies. Their interpersonal and communication strengths enable them to build productive relationships and interact confidently with employees at all organizational levels, as well as with external stakeholders.
INTRODUCTION: Human Resources will screen applications and supplemental questionnaires. Candidates possessing the strongest skills and experience for this position will be forwarded to the hiring department for further evaluation and to determine who will be invited to the formal interview process. The successful candidate may be required to pass a drug screening, background check and may be required to pass a job-related physical evaluation.
Under general supervision, performs a variety of specialized and responsible administrative support duties in support of division or section functions and work processes; creates and maintains specialized records, reports and files; interacts with department and division staff and staff of other departments on technical matters; and performs related duties as assigned.
Office administration practices and procedures; principles and practices of sound business communication; correct English usage, including spelling, grammar and punctuation; District organization, functions, rules, policies and procedures applicable to assigned areas of responsibility; practices and procedures used in work order processing; District personnel policies and labor contract provisions; operations and requirements of the District payroll system; financial accounting and payroll terminology; District benefits programs, provisions and options; word processing, spreadsheet and other standard business software; bookkeeping and elementary accounting; records management, recordkeeping, filing and purchasing practices and procedures.
Operate a computer terminal and computer using word processing, spreadsheet and other business software; operate other standard office equipment; type accurately at a speed necessary to meet the requirements of the position; organize, set priorities and exercise sound independent judgment within areas of responsibility; interpret, apply, explain and reach sound decisions in accordance with District and department policies and procedures and labor contract provisions; organize and maintain office and specialized files; communicate clearly and effectively orally and in writing; understand and follow written and oral instructions; prepare clear, accurate and concise records and reports; establish and maintain effective working relationships with District managers, staff, the public and others encountered in the course of work.
A typical way of obtaining the knowledges, skills and abilities outlined above is graduation from high school or G.E.D. equivalent and four years of increasingly responsible office administrative or secretarial experience; or an equivalent combination of training and experience. Experience in a government or public utility setting is highly desirable.
