We are looking for a detail-oriented and proactive
Administrative Assistant / Receptionist
to join our team. This is a full-time, front-line position that plays a key role in supporting daily operations and creating a professional, welcoming environment for employees, visitors, and customers.

Key Responsibilities:
•Act as the first point of contact by professionally greeting and registering visitors and contractors.
•Maintain a clean, organized, and welcoming reception area that reflects company standards.
•Provide administrative support across departments, including accurate data entry, document preparation, and general office coordination.
•Organize and manage both physical and digital filing systems to ensure efficient recordkeeping and retrieval.
•Ensure timely and accurate documentation aligned with the Innovex Quality Management System (QMS).
•Complete all required QMS training and comply with relevant quality procedures and work instructions.
•Prepare, process, and submit billing documents in line with customer-specific requirements.
•Identify and resolve discrepancies related to customer billing and statements.
•Maintain and update logs, records, and databases to ensure data accuracy and accessibility.
•Communicate effectively with internal teams, customers, and vendors to support seamless operations.
•Handle sensitive employee and company information with the highest level of confidentiality.
•Adhere to all company policies, procedures, and safety standards.
•Perform other administrative duties as assigned by the Supervisor.
About You:
•Experienced in ERP systems and fluent in billing platforms such as Open Invoice, Ariba, and similar tools.
•Proficient in Microsoft Office Suite, including Word, Excel, and Outlook.
•Demonstrates advanced organizational and multitasking capabilities.
•Strong time management and adaptability in a fast-paced environment.
•Excellent verbal and written communication skills, with a clear focus on internal and external customer service.
•Committed to safety, quality, and compliance with established procedures.
•Reliable, punctual, and maintains a high level of attention to detail.
•Able to work independently while collaborating effectively with cross-functional teams.
