We are looking for a highly organized Administrative Assistant to support our leadership and technical departments. This is a remote-first position, but because we are a Boston-born company, we are looking for someone located in the region who understands our local ecosystem and can attend quarterly in-person team summits in Devens or Cambridge.
You won't just be managing calendars; you will be a project coordinator, a gatekeeper, and a problem solver. You will handle the logistical heavy lifting so our engineers and scientists can stay focused on the machine.
- Coordinate high-volume meeting schedules across multiple time zones, ensuring no conflicts for key leadership and technical leads.
- Manage end-to-end travel arrangements (flights, lodging, ground transport) for team members visiting our Devens site or attending international energy conferences.
- Maintain and audit our internal filing systems (Google Drive/SharePoint), ensuring project documentation is organized and accessible.
- Process monthly expense reports and track department budgets using tools like Concur or Ramp, ensuring compliance with company policy.
- Prepare agendas for remote departmental meetings, take concise minutes, and track follow-up action items to ensure nothing falls through the cracks.
- Partner with HR to help remotely onboard new hires, ensuring they have their digital access and a warm welcome to the team.- 3+ years of administrative or executive assistant experience, preferably in a fast-paced startup or tech environment.
- Remote, but must reside in the Greater Boston area (MA, NH, RI) to facilitate occasional on-site support or local errands.
- Expert-level proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets) and Slack. Experience with project management tools like Monday.com or Asana is a plus.
- Exceptional written and verbal communication skills. You should be able to draft professional emails and reports with zero supervision.
