Summary

The Accounts Payable accountant supports both ACI and Heartland Corporate, and is responsible for managing and processing financial transactions related to vendor payments and accounts payable. This role ensures that invoices are reviewed, coded, and entered into the system for timely payment while maintaining compliance with company policies and accounting standards. The ideal candidate will excel in maintaining precise records, reconciling discrepancies, and communicating effectively with vendors and internal teams to resolve payment issues. This position is critical to supporting the company’s financial operations and maintaining positive vendor relationships.

Responsibilities

Monitor and manage Accounts Payable mailboxes

Heartland Corporate

Invoice Processing:

•

Review and verify the accuracy of invoices, purchase orders, and payment requests.

•

Obtain invoice approvals for payment and determine proper coding

•

Enter invoices into the accounting system for payment.

Credit Card Processing

•

Enter credit card transactions into the accounting system

•

Reconcile the credit card transactions with the statement and ensure cardholders provide proper documentation and coding of transactions

Record expense reimbursement transactions

•

Ensure proper expenses have documentation, are approved by the employee’s manager, and meets company policy

•

Submit to payroll processor for employee reimbursement

•

Record expense in the general ledger

Reconciliations:

•

Reconcile vendor statements and resolve discrepancies promptly.

•

Assist with month-end closing processes, including AP related general ledger account reconciliations.

Vendor Relations:

•

Communicate with vendors to address payment inquiries, discrepancies, and account updates.

•

Maintain accurate and updated vendor records in the accounting system.

Documentation and Compliance:

•

Ensure proper documentation and adherence to company policies and regulatory requirements.

•

Prepare 1099 forms and other tax-related documents.

•

Manage tax filings such as use tax in MN and SD, Contractors’ excise tax, Motor Fuel, E911 returns with EPath

General Support:

•

Collaborate with other departments to ensure smooth financial operations.

•

Provide support for audits by organizing and providing required documents

Qualifications

Education:

High school diploma or GED required;

Associate or bachelor’s degree in Accounting or Finance is preferred

Experience:

Minimum of 2-3 years of accounts payable experience

Familiarity with accounting software (e.g., Business Central, QuickBooks, SAP, or Oracle) and MS Office Suite, particularly Excel.

Skills:

Strong attention to detail and organizational abilities.

Effective communication and problem-solving skills.

Ability to manage multiple tasks and meet deadlines.
