The Accounting Specialist is responsible for managing daily transactions and monthly reconciliations related to accounts payable, payments, and corporate credit cards. The role also supports month-end closing activities, including journal entries; oversees a small vehicle fleet; coordinates travel accommodations; and performs various other duties as assigned.
- Process bills and bill payments using Bill.com and QuickBooks Enterprise, utilizing three-way matching.
- Reconcile monthly vendor statements and ensure consistency between the accounts payable schedule, Bill.com, and QuickBooks Enterprise.
- Monitor, process, and reconcile corporate credit card transactions, statements, and payments using the Bill Spend platform.
- Code, process, and reconcile rental equipment and temporary labor expenses via Quickbase and QuickBooks.
- Manage and maintain tax-exempt purchasing status; submit certificates to vendors across multiple states and jurisdictions.
- Oversee supplier and subcontractor documentation, including Certificates of Insurance (COIs), lien waivers, preliminary notices, and job information sheets.
- Code, track, reconcile, and report on warranty costs, operations and maintenance (O&M) expenses, and project development costs.
- Maintain a 20-vehicle fleet, handling registration, GPS tracking, maintenance, and accident claims.
- Plan and coordinate long-term travel assignments for project crews, including lodging, transportation, and per diem processing.
- Complete assigned month-end tasks, including bank reconciliations and supporting schedules.
- Assist with annual audit preparation, including schedule reviews and reconciliations.
- Perform additional duties and responsibilities as assigned.
- Minimum of 5 years of accounts payable experience, preferably in construction or job-costing environments.
- Proficient in Microsoft Office 365, Excel, and Adobe Acrobat DC.
- Experience with QuickBooks Desktop is required; familiarity with Bill.com, Box, and Quickbase is preferred.
- Strong attention to detail and a high level of accuracy with the ability to multi-task.
- Proven ability to meet deadlines in a fast-paced, high-volume environment.

Casual office environment, Monday through Friday, from 8:00 AM to 5:00 PM.
