Overview
We are seeking a detail-oriented and customer-focused Travel Desk Specialist to support our travel department. This role is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and can deliver excellent service while handling multiple priorities.
- Monitor and manage daily travel desk activities including emails, phone calls, and customer inquiries.
- Assist with out-of-state travel requests, including online searches for conferences and booking hotels using provided conference links.
- Provide status updates to customers on travel requests.
- Collaborate with site administrators to prepare spreadsheets and reports related to group travel requests.
- Review in-state travel requests, identify missing or incorrect information, and route requests to the appropriate travel agent or manager for approval.
- Guide new customers through travel profile setup and provide direction on travel policies and procedures.
- Handle last-minute travel changes or cancellations due to weather or other situations, including contacting hotels to adjust bookings.
- Collect necessary paperwork for updating travel invoices.
- Perform additional administrative duties as assigned.
- Strong organizational and time-management skills with the ability to prioritize effectively.
- Excellent written and verbal communication skills; ability to interact with all levels of staff and management.
- Professional demeanor with a customer service mindset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Experience with travel applications (SABRE/ARC/TRAMS) is a plus but not required.
- Associate’s or Bachelor’s degree preferred, or equivalent professional experience (2–4 years).
