Trans Mountain Corporation operates Canada’s only pipeline system transporting oil products to the West Coast. We deliver approximately 890,000 barrels of petroleum products each day through a dual pipeline system of more than 1,150 kilometres of pipeline in Alberta, British Columbia and Washington state.

Trans Mountain also operates a state-of-the-art loading facility, Westridge Marine Terminal, with three berths providing tidewater access to global markets.

As the Team Lead, PMO Information Management & Document Controls with Trans Mountain, you’ll be part of a dynamic and fast-paced team in our Project Management Office.

Reporting to the Manager, Project Governance, this role plays a central leadership role within Trans Mountain’s Project Management Office (PMO). This position is accountable for the strategic direction and operational excellence of project information management and documentation practices. The role oversees the PMO’s SharePoint environment, project documentation, ensures governance documentation consistency, and leads a team including Document Management and Technical Writing resources. As the custodian of the PMO’s standards, procedures, and guidance materials, this individual ensures clear, accessible, and compliant documentation that supports stage-gate readiness, auditability, and efficient project execution. The Lead serves as a key point of contact for project teams seeking support and clarity on documentation, governance expectations, and information management tools.

This role is classified as “Office First” under the company’s Where We Work policy, and the successful incumbent will work full-time out of the company’s Calgary office.

Key Responsibilities

Provide strategic oversight of PMO SharePoint environments and content libraries, ensuring effective structure, version control, user access, and alignment with governance documentation standards.
Maintain consistency and alignment of all PMO standards, procedures, guidelines, and templates across the portfolio by reviewing, updating, and managing changes with input from key stakeholders.
Supervise and support the Specialist, Document Management to ensure robust document control practices, tool use, compliance monitoring, and effective training for project teams.
Supervise and guide the Technical Writer to ensure the quality, clarity, and alignment of project documentation and governance communications.
Act as the go-to operational support contact for PMO staff and project teams regarding documentation standards, expectations, and governance process questions.
Lead initiatives to improve PMO documentation tools, systems, and workflows by integrating feedback, leveraging best practices, and aligning with corporate and regulatory changes.
Develop and monitor KPIs for document control, information consistency, and system usage; report results and recommend continuous improvement actions.
Collaborate with stakeholders such as IT, Legal, and Operations functions to ensure project information practices remain integrated and compliant across the organization.


Qualifications And Professional Experience

Post secondary education in Information Management, Business Administration, or related field.
Minimum 10 years of experience in document controls.
Strong understanding of Stage-Gate governance, project lifecycles, and operational readiness.
Deep knowledge of regulatory and compliance standards for document retention, version control, and secure access.
Proficiency in structuring and maintaining digital repositories, intranet/SharePoint portals, and document workflows.
Experience with SharePoint architecture and permissions and Document control systems.
Technical writing and template standardization experience required.
Understanding of governance frameworks and audit-readiness standards.
Project Management Professional (PMP) designation considered an asset.
Certified Records Manager (CRM), Certified Document Controller (CDC), or Information Governance Professional is an asset.
Collaborative leader with a passion for mentoring, coaching, leading, fostering teamwork and guiding others; capable in navigating and facilitating difficult conversations.
Excellent communication (both written and verbal) and interpersonal skills, with the ability to foster teamwork within the department and across.
Strong problem-solving abilities and sound decision-making skills.
Exceptional analytical and prioritization skills.
Thrives under pressure, adept at managing strict deadlines and shifting priorities.
Critical focus on accuracy and detail and work efficiently in a time-conscious and time-effective manner in a high-paced, agile, dynamic and multi-task environment.


Other Requirements And Information

May need to provide support outside of regular business hours and/or on the weekend.
5-10% travel to various site locations may be required.
