Senior Director, Project Management Office (PMO), Consulting Operations


The Senior Director, Project Management Office (Sr. Director, PMO) is a strategic leadership role responsible for building, overseeing, and managing Mosaic’s PMO function. This role ensures consistent application of project management methodologies, processes, and best practices to drive efficiency, alignment with business objectives, and project success.


The Sr. Director, PMO will lead the client delivery team and a team of project managers, shaping the team structure, assigning resources to meet short- and long-term goals, and prioritizing mission-critical initiatives in a fast-paced environment. They will monitor and report on project performance and capabilities, ensuring continuous improvement.


This role works closely with Mosaic’s Practice Areas to drive alignment, secure buy-in for PMO standards, and lead resourcing efforts. The Sr. Director, PMO will also partner with the Sales team to define project support requirements in statements of work (SOWs) and to establish a clear, structured hand-off from Sales to Operations. Additionally, the Sr. Director will oversee the day-to-day relationship with the Production Services vendor.


As a senior leader at Mosaic, the Sr. Director, PMO is expected to operate at a high level, develop a high-performing team, and establish a clear line of succession within the PMO organization.


Roles and Responsibilities


The responsibilities of the Senior Director, Project Management Office role are as follows:



PMO Leadership and Strategy:

Develop and implement PMO frameworks, processes, and policies to support projects of all sizes and complexities.
Lead the PMO team in developing an enhanced PMO service offering to meet market and client needs.
Foster a high-performing PMO culture across Mosaic.
Lead Centers of Excellence to drive consistent project and client experience.


Project Portfolio Management:

Refine and oversee project intake, prioritization, and resource allocation to optimize portfolio performance and ensure alignment with strategic objectives.
Provide strategic direction for project management practices, methodologies, and tools.
Align PMO objectives with Mosaic's overall strategy through engagement with senior leadership.


Project Delivery Oversight:

Collaborate with Practice Area leaders to refine the project delivery model, clarifying roles and responsibilities for project management and oversight.
Monitor project progress and execution to ensure timelines, budgets, and quality standards are met.
Provide guidance, coaching and mentorship to project managers.
Oversee the planning, execution, and delivery of projects across all consulting engagements.
Establish and maintain project governance structures to ensure project success.
Partner with Practice Areas to design and implement an Audit Program that reviews deliverables on large-scale projects.


Team Leadership and Development:

Lead, manage, and develop PMO team members, fostering a collaborative and high-performing environment.
Develop PMO talent to ensure team skills align with evolving project needs; promote a continuous learning and professional development environment.
Expand Mosaic’s Project Management Apprentice Program to ensure development of the project management capability within Mosaic.


Compliance and Governance:

Ensure adherence to PMO standards, policies, and regulatory requirements. Monitor compliance with project processes and methodologies.
Work with Project Controls, Sales, and Practice Areas to establish minimum standard requirements for project controls and PMO support on all projects.


Risk Management:

Identify risks and develop mitigation strategies to ensure successful project outcomes.
Establish a risk management framework, conduct regular risk assessments, and provide risk reports to SVP, Operations.


Reporting and Analytics:

Partner with the Project Controls team to enhance reporting systems for tracking project progress, monitoring key performance indicators (KPIs), and providing actionable insights to stakeholders.
Establish and track KPIs to measure project performance and PMO effectiveness.
Report on PMO performance to senior leadership, leveraging data analytics to generate insights and drive continuous improvement in project outcomes.


Stakeholder Management:

Build and maintain strong relationships with key stakeholders, including clients, senior management, practice area leaders, and project teams.
Communicate project status, risks, and issues effectively to all stakeholders.
Facilitate regular check-in meetings with Practice Areas to ensure transparency in project progress.


Vendor Management:

Oversee the Production Services relationship, including onboarding, performance management, and contract administration.
Conduct regular business reviews.


Resource Management:

Oversee resource huddle team and meetings.
Collaborate with Project Controls team to continue to automate resource data management.
Allocate resources strategically across projects to ensure optimal utilization and balance workloads.
Develop resource planning models to anticipate future project demands and capacity.


Skills and Experience

Leadership and Team Management: Proven ability to build, lead and inspire high-performing teams, drive accountability and make sounds, strategic decisions.
Project Management Expertise: Deep understanding of project management methodologies (e.g., Agile, Waterfall), tools, and best practices.
Process and Analysis Expertise: Strong capability in process management, business analysis, and continuous improvement methodologies.
Strategic Thinking: Demonstrated ability to align PMO initiatives with organizational priorities and long-term strategic goals.
Communication and Interpersonal Skills: Exceptional communication, presentation, and interpersonal skills, with the ability to engage and influence stakeholders at all levels.
Analytical and Problem-Solving Skills: Strong analytical mindset with the ability to synthesize data, identify issues and deliver actionable solutions.
Technical Skills: Proficiency in project management software and tools (e.g., Microsoft Project).



Working Relationships

Internal: Develop and maintain strong working relationships across the organization with Practice Areas, Finance, People Operations, IT, Sales and Marketing.

External: Interacts extensively with clients and potential clients to develop strong relationships and communication channels. Independently works in and effectively navigates through ambiguous and political client environments.



Education

Bachelor's degree in Project Management, Business, Engineering, Information Technology (IT) Computer Science, Management, or related field required.
Master's degree in Project Management, Business Engineering, IT, Computer Science, Management, or related field preferred.
Project Management certification preferred (PMP or related).

Work Environment: Work environment can vary greatly depending on client and location. Reliable transportation to and from work location required. Travel will be required depending on client/project needs.

The compensation range considers a wide range of factors that are considered in making hiring and compensation decisions. These factors include, but are not limited to candidate skill set, consulting experience, training and education, competencies, and other business and organizational needs. Compensation decisions are dependent on the facts and circumstances of each case. Mosaic strives to set salaries at, or near the 50th percentile (midpoint) of the range and it is not typical for candidates to be hired at or near the top of the range for the position. A reasonable estimate for this position is $185,000.00 to $215,000.00. This position is eligible to participate in a discretionary bonus program of up to 10% of annual compensation. The bonus program is dependent on a variety of factors including organizational and individual performance.
